Senior Administrative Assistant - Railcar Repair
Witchita, KS We are seeking a highly organized, detail-oriented Senior Administrative Assistant to support our Railcar Repair Operations team. This individual will play a key role in coordinating business functions including bid proposals, marketing support, travel arrangements, and customer event planning. The ideal candidate is a proactive problem solver with exceptional communication skills and advanced proficiency in the Microsoft Office Suite.
Work Schedule: Monday - Friday
Job Duties & Responsibilities: Executive Support:
- Provide direct administrative support to senior Railcar Repair leaders, including calendar management, meeting coordination, travel arrangements, and preparation of reports and presentations.
- Maintain accurate records, databases, and reporting tools for operational tracking.
- Support special projects and cross-functional initiatives as assigned.
Operational & Administrative Support:
- Support day-to-day operations by managing documentation, tracking project milestones, and maintaining records in SharePoint and other systems.
- Process timesheets, expense reports, and support purchasing as needed.
- Maintain confidentiality of sensitive information and ensure compliance with company policies.
Proposal & Marketing Support:
- Assist with the preparation, formatting, and submission of business proposals, marketing materials, and customer presentations.
- Coordinate with business development and marketing teams to ensure timely delivery of materials and support new business opportunities.
Customer Event Coordination:
- Coordinate customer events, trade shows, and internal meetings, ensuring logistics and materials are executed seamlessly.
Collaboration & Communication:
- Foster effective communication and collaboration across departments, including operations, HR, safety, procurement and business development.
- Provide backup support for other administrative staff as needed.
Minimum Job Qualifications:
- 5+ years of administrative experience, preferably in an industrial, logistics, or railcar repair environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and SharePoint).
- Strong organizational, multitasking, and problem-solving skills.
- Excellent written and verbal communication abilities.
- Experience supporting senior leaders and managing confidential information.
- Ability to work independently and as part of a team in a fast-paced environment.
- High attention to detail and commitment to quality.
- 18 years or older and legally able to work in the U.S.
- Stable work history with good references from past employers
- Pass a drug screen, physical, and background check
- PSC is a veteran-friendly company. Previous military experience and proven ability to follow procedures is a plus.
Preferred Job Qualifications:
- Experience with proposal development, marketing support, or customer event planning.
- Familiarity with railcar repair, logistics, or industrial services is a plus.
