Primary Purpose of Organization Unit
Focusing on Technology, Compliance, and Quality, the Registrar's Office connects students, faculty, and staff with approved policies, procedures, and processes to maintain timely and accurate academic records and curriculum. We balance best practices with forward thinking and new technologies to provide quality and compliant services to students, faculty, staff, and the community.
Primary Purpose of Position
The Student Support Specialist (Credential Specialist) executes various cross-functional aspects of registration, student records, and customer service to the UNCP community. The primary focus of this position is learner mobility as it relates to UNC Pembroke. This includes managing the evaluation and processing of transfer and alternative credit, ensuring all credit is accurately assessed, recorded, and posted to student records and the university's web-based systems. The Credential Specialist exercises strong public relations and critical thinking skills to address complex issues related to course transferability and the transfer equivalency catalog and associated processes. This position supports the day-to-day tasks of the Registrar's Office by offering information, directions, and referrals to students and visitors while interpreting and communicating complex university policies and federal regulations such as the Family Educational Rights and Privacy Act ( FERPA).
Job Description
Duties and Tasks:
* Using industry, state, and university regulations/policies/guidelines/codes, evaluate student credentials relative to equivalent curricular components and degree/certificate requirements to determine eligibility for transfer credit and graduation. Facilitates determination on course applicability to degree requirements with consistently and accuracy. In consultation with subject matter experts in relevant academic departments, maintains the transfer credit catalogs and updates with appropriate systems with equivalents as needed. Assists with resolving credit transfer issues, as necessary.
* Prepares transient permission letters for UNCP students who wish to take a limited number of courses at another institution. Maintain current knowledge of transfer requirements for colleges and universities; maintain inventory of information. Understand articulation systems and matriculation requirements. Coordinate with university constituents to recommend changes for practices and processes for efficiency and to benefit students. Assists with Banner upgrade testing and workflow improvement. Prepares special reports, summaries, or replies to inquiries by compiling data and statistics from various departmental resources.
* Professionally and clearly communicates when working with others via multiple phone lines, email boxes, and face-to-face; accurately advise to relevant policies, processes and resources; evaluate facts to troubleshoot issues. Communicates, collaborates, and maintains relationships with internal and external constituents, especially department Chairs and Directors. Complies with all published rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.
* Provides professional and timely support to Registrar Office daily operational and graduation functions. Contribute to the success of official events, including, but not limited to commencement and new student orientation, which may occur in evenings and weekends. Performs all other duties as assigned.
Management Preference
PREFERRED KNOWLEDGE, SKILLS AND ABILITIES:
* Minimum one (1) year of office administration experience; or any equivalent combination of education, training and experience. Previous experience in an Office of the Registrar, Enrollment, or Academic Advising preferred.
* Knowledge of common higher education standards, policies and procedures, specifically transfer evaluation/articulation practices, AACRAO evaluation guidelines, and FERPA.
* Knowledge of Ellucian Banner and Degree Works software.

* Skill in the operation of a variety of office machines including, personal computers, telephones and copiers, filing and recordkeeping, English composition, grammar, spelling and punctuation and basic math.
