DESCRIPTION

Reporting directly to the Associate Director of Operations, the Practice Manager is responsible for the management and daily operations of the Bankers Hill Primary Care/Downtown Express Care Clinic/ Downtown Occupational Health, in accordance with federal, local, and internal standards, policies, and regulations. This role encompasses a wide range of responsibilities, including clinic operations, fiscal management, recruitment, onboarding, training, and development and retention of staff, including clinicians. Additionally, the Practice Manager is involved in program planning and/or external marketing activities to ensure the delivery of exceptional quality care and experience to all patients and caregivers of the practice.

This position resolves escalated issues and serves as a resource in areas under supervision. The Practice Manager also oversees administrative functions such as practice revenue management, billing systems, facilities and safety procedures, registration, new patient coordination, scheduling, medical records storage and maintenance, and insurance authorizations.

The Practice Manager also leads and participates in quality improvement initiatives, ensuring their effective implementation and monitoring to meet or exceed organizational, divisional, or departmental goals. This includes evaluating and addressing incident reports across a broad range of issues related to privacy, safety, or customer service.

The Practice Manager supervises patient support staff, including patient service representatives, medical assistants, and LVNs. Management of clinicians will be in partnership with the Clinic Medical Director and includes participation in recruitment, onboarding, and personnel management. Through strong leadership and strategic oversight, this role plays a crucial part in maintaining operational efficiency and delivering high-quality care to patients and caregivers.

MINIMUM QUALIFICATIONS
  • Nine (9) years of related experience, education/training, OR a Bachelor's degree in related area plus Five (5) years of related experience/training including two (2+) or more years in healthcare operations.

  • Demonstrated supervisory and organizational skills to effectively supervise staff and to manage the complex workflow and multiple priorities involved with clinic / center administration.

  • Strong knowledge of practice operations, patient-scheduling systems, medical and insurance terminology, applicable information systems, patient service standards, and regulatory requirement and best practices.

  • Proven analytical and critical thinking abilities, with the capacity to rapidly assess problems, determine the appropriate level of intervention, and develop and implement effective solutions

  • Excellent interpersonal, written, and verbal communication skills, with the ability to collaborate effectively across all levels of management and staff, as well as with consultants and external agencies.

PREFERRED QUALIFICATIONS
  • Three or more (3+) years of supervisory experience.

  • Primary care/urgent care experience with large health system management experience.

  • Occupational Health operations experience, including familiarity with workers' compensation processes, OSHA compliance, and employer-based health services.

  • Demonstrated experience managing and monitoring budgets, with a proven history of successful financial management.

  • Demonstrated project management.

  • Experience interfacing with community partners through events, outreach, etc.

  • Human resource experience (i.e., recruitment and labor relations).

  • Policy and Protocol creation and management.

  • Lean management experience.

  • Experience working in a physician dyad (IE a Clinic medical director).

SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.
  • This salaried position supports a 7-day-a-week operation.
  • Employment is subject to a criminal background check and pre-employment physical.

Pay Transparency Act

Annual Full Pay Range: $88,000 - $161,600 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $42.15 - $77.39

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
