Responsible for the smooth operation of the office by coordinating office support services, including purchasing and facilities management.


RESPONSIBILITIES:



  • Supervises offices services staff, print shop contractors, and receptionist.
  • Ensures front-desk coverage at all times.
  • Assists in the preparation and maintenance of the office budget. Records office expenditures and manages the budget.
  • Work with internal clients on space planning and coordinate department moves to include moving office wall systems, furniture, computers and telephones.
  • Responsible for office supply purchasing in a timely manner. Reviews and approves office supply acquisitions.
  • Organizes, publicizes, and registers staff for workshops and other staff development opportunities.
  • Makes site and catering arrangements for training and special events.
  • Ensures that the office equipment is functioning properly. Oversees the maintenance of office equipment.
  • Oversees facilities planning, maintenance and custodial operations. Monitors the facility to ensure that it remains safe, secure, and well-maintained.
  • Acts as a liaison with contractors and utility contractors in servicing office equipment. Manages contractor's billings and payments.
  • Communicates information, announcements and messages promptly to staff.
  • Assists in the organization and planning of volunteer and fundraising events.
  • Investigates staff complaints, disturbances and violations and resolves problems following management rules and regulations. Involves Human Resources Manager as necessary.
  • Responsible for the emergency preparedness plan development and communications for the office.


  • Contributes to accomplishing office goals and a positive work environment by performing other duties as required or assigned.
  • May provide administrative support as directed.
  • Takes personal responsibility for fostering a green workplace through sustainable work practices.
  • Fosters a commitment to external and internal client service.


EDUCATION & EXPERIENCE:



  • High school diploma or equivalent required; Bachelor's degree preferred.
  • Previous facility management experience preferred.

  • Travel may be required.
  • Overtime may be required.

Compensation is based on experience, qualifications, education and location. The reasonably expected salary range for this position is $85,000 to $120,000. Other compensation may include a discretionary bonus.
