Description

With general direction from the CFO, responsible for managing the disbursement of multi-state payroll, including garnishments, benefits and taxes, consistent with federal and state wage and hour laws and all activities of the accounts payable function. Supervises payroll & accounts payable staff to achieve desired results as a high-performing and well-respected team.

Job Functions:



  • Promotes and fosters a safe and secure operating environment.
  • Coordinates the reviews and test of applicable software cyclicals and upgrades. Ensures the correct functionality of systems.
  • Assists with special projects and workflow process improvements.
  • Evaluates impact of changes to Company business activities and applies applicable rules.



Payroll Job Functions:



  • Manages timely and accurate payrolls, tax disbursements and other third-party payments.
  • Prepares accounting journal entries and account analysis and performs budget wage variance analyses for all employee groups.
  • Ensures systems are set-up and updated to reflect the current employee base, including wages, benefits, sick and vacation time in line with all collective bargaining agreements.
  • Oversees the processing of payroll for all labor groups and prepares the payroll for management staff.
  • Complies with corporate, federal, state and local regulations, as well as internal controls, policies and procedures.
  • Critically reviews and analyzes current payroll, benefits and tax procedures in order to recommend and implement changes leading to best-practice operations. Evaluates the impact of changes to Company business activities and provides timely, cost-effective recommendations.
  • Prepares, monitors and measures departmental goals and reports on key payroll metrics.
  • Assists finance leadership in the annual audit of financial statements.
  • Communicates actively with HR, employee benefits and accounting departments to review and reconcile cross-departmental data.


Accounts Payable Job Functions:



  • Applies accounting principles and techniques to systematically record and present data.
  • Prepares specific journal entries and account analysis for general ledger accounts.
  • Prepares and maintains detailed worksheets to track expenses and trends.
  • Handles internal and external disputes escalated through the AP department.
  • Ensures timely and authorized payment of corporate and departmental expenditures.
  • Ensures corporate compliance of disbursements and internal control.
  • Forecasts cash requirements related to payables
  • Ensures annual compliance with federal and state 1099 income reporting, assisting with annual audit of financial statements.
  • Acts as Business Continuity Team Leader for Accounts Payable business unit. Ensures plan is viable, inclusive, and current.
  • Ensures accounts payable process, systems, and internal controls operate efficiently.



Required Competencies:



  • High level of judgment and initiative in setting priorities, arranging work for subordinates to ensure accuracy of payrolls, meet deadlines and solve problems.
  • Judgment and initiative needed to set detailed schedules and deadlines for self and subordinates, review, and correct subordinates' work as necessary and implement new policies and procedures to improve efficiency of accounting systems.
  • Analytical ability to assess the efficiency of processes and procedures, recommend improvements and effectively implement improvements.
  • High level of understanding of accounting principles, practices, and procedures.
  • A strong team player who has the ability to lead staff to excellent performance.
  • Ability to handle confidential information.
  • Ability to communicate fluently in English.



Education & Experience:

Required:



  • Bachelors degree in Accounting
  • Multi-year experience covering payroll and accounts payable
  • Proficient to Advanced Excel skills



Preferred:



  • Experience managing a multi-state, unionized payroll
  • Working knowledge of Kronos and Ultipro (UKG)
