Are you a master of coordination and customer care? Join our team as a Service Coordinator, where you will play a pivotal role in keeping projects and service operations running seamlessly. In this dynamic position, you will:



  • Facilitate crew scheduling for projects, maintenance, inspections, and service calls in our Service Department.
  • Be the first point of contact for client inquiries, ensuring accurate information and exceptional service.
  • Collaborate with Project Managers and Service Account Managers to deliver flawless project and service experiences.
  • Manage service requests from start to finish, oversee technician schedules, and keep everything on track through our dispatch system.

Essential Duties & Responsibilities:
To successfully perform this role, an individual must be able to carry out each essential duty satisfactorily. The requirements outlined below represent the knowledge, skills, and abilities necessary for the position.   • Coordinate with Project Managers and Service Account Managers to schedule field labor for large contracts, small service projects, and recurring maintenance/inspections.
  • Monitor manpower and open work order spreadsheets; schedule technicians promptly.
  • Answer service calls and follow up with customers in a timely manner.
  • Document and categorize work requests received via phone, email, or verbally.
  • Confirm billing details-such as "bill to," PO numbers, limits, warranty status, and billable work-before entering requests into dispatch software.
  • Actively manage the dispatch console, including technician rescheduling.
  • Enter service requests into dispatch software and oversee allocation through completion.
  • Verify inspection completion, review forms, prepare field quotes, and collaborate with Service Account Managers for approval.
  • Accurately input new maintenance and warranty inspection contracts.
  • Provide training and support to technicians and service team to ensure smooth workflow and customer satisfaction.
  • Handle customer complaints and escalate to management when necessary.
  • Assist with timesheets, time tracking, accounts receivable collections, and billing support.
  • Conduct customer surveys as requested.
  • Support Architectural Department initiatives, including adherence to SOPs.
  • Perform other duties as assigned.


Required Education & Experience:



  • One year or more of experience in a service-oriented or complex business office, with emphasis on scheduling and client management.
  • Proficient in Microsoft Office (Outlook, Word, Excel) or similar record-keeping software.
  • Ability to quickly learn and navigate company systems, including CenterPoint, WebApps, Samsara, and SharePoint.
  • Working knowledge of iPhone and iPad functionality.
  • Excellent interpersonal and communication skills.
  • Strong attention to detail, organizational skills, and ability to multitask effectively.


Other Details:



  • This position will report regularly in person to Duluth, MN.
  • All offers of employment are expressly contingent upon the satisfactory completion, in accordance with Company policy, of a pre-employment drug screening and background check.

Compensation & Benefits:



  • The expected hourly compensation range for this position is $22.60 - $33.90. Compensation offered to the selected candidate will vary depending on relevant knowledge, skills, training, experience, and market conditions.
