About the Role

The Program Assistant plays a vital role in supporting the successful planning, coordination, and execution of various organizational programs. This position ensures that all program activities run smoothly by providing administrative support, managing communications, and assisting with logistical arrangements. The Program Assistant collaborates closely with program managers and team members to track progress, prepare reports, and maintain accurate records. By handling day-to-day operational tasks, the Program Assistant enables the team to focus on achieving program goals and delivering impactful outcomes. Ultimately, this role contributes to the overall efficiency and effectiveness of the organization's program initiatives.


Job Responsibilities

  • Provide administrative support including scheduling meetings, managing calendars, and coordinating travel arrangements for program staff.
  • Assist in the preparation and distribution of program materials, reports, and presentations.
  • Maintain accurate and organized records of program activities, participant information, and related documentation.
  • Support communication efforts by responding to inquiries, coordinating with stakeholders, and facilitating information flow within the team.
  • Help coordinate logistics for events, workshops, and training sessions associated with the programs.


Minimum Qualifications

  • High school diploma or equivalent.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work collaboratively in a team environment.


Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Communications, or related field.
  • Experience in program coordination or administrative support roles.
  • Familiarity with project management software or tools.
  • Basic knowledge of data entry and database management.
  • Ability to handle multiple tasks and prioritize effectively under deadlines.

The Program Assistant utilizes organizational skills daily to manage schedules, coordinate meetings, and ensure timely completion of tasks. Communication skills are essential for interacting with team members, stakeholders, and external partners to facilitate smooth information exchange.
