Job Description

Kearney and Company is seeking a Human Resources Administrator to join our Alexandria, VA team! The candidate will provide comprehensive HR support across key functional areas, including onboarding, employment verification, employee inquiries, records management, reporting, and other related HR operations.

Job Duties and Responsibilities:

  • Administer and oversee all aspects of employee onboarding from offer acceptance to their first day of work
  • Launch candidates in the on-boarding platform (iCIMS) and generate new profiles within Sage (HRIS), Corporate Travel (Concur), American Express, Docusign, E-Verify and other systems as appropriate
  • Process and update employee status changes-such as title, salary, and reporting structure-in the HRIS and associated platforms
  • Monitor the HR case management system and respond promptly to employee inquiries and service requests
  • Conduct employment verifications via mail, phone, and in-person interactions with government investigators
  • Address routine and complex questions regarding HR policies and procedures, or direct employees to appropriate resources for resolution
  • Serve as a liaison between Payroll, Timesheets, and HR to resolve onboarding-related questions and ensure data accuracy
  • Generate and distribute HRIS reports to support leadership, development programs, and internal HR initiatives
  • Facilitate the e-verification process for new hires, including virtual document verification and formal submission through E-Verify
  • Compile new hire welcome gifts to accompany IT equipment shipments for incoming employees
  • Maintain and organize HR documentation, with a focus on I-9 compliance and secure file retention
  • Compile and issue monthly HR reports by aggregating and analyzing relevant data
  • Track employee referrals and ensure that all referrals adhere to the Employee Referral Policy
  • Process and distribute all mail for Human Resources that arrives at headquarters
  • Support the broader HR department, including the HR Director or Chief People Officer with administrative tasks and other duties as assigned

Physical Requirements:

  • Ability to remain stationary at a keyboard for prolonged periods of time to continuously operate a computer and complete tasks
  • Ability to report to headquarters two to three days per week, and as needed
  • Ability to regularly transport objects or materials up to ten (10) pounds
  • Ability to infrequently transport objects or materials up to forty (40) pounds

Experience, knowledge, and skill requirements:

  • At least 1 year of HR experience and/or training; or equivalent combination of education and relevant experience
  • Experience using HRIS and content management systems, such as Salesforce
  • Ability to demonstrate working knowledge of Microsoft Office Suite applications, with advanced knowledge of Excel
  • Ability to communicate with all levels of employees, including executive-level employees
  • Excellent organizational, time-management and planning skills and the ability to transition among multiple priorities with ease
  • Excellent interpersonal skills, including courtesy, professionalism, and a strong commitment to customer service with an understanding and appreciation of the customer requirements
  • Ability to maintain confidentiality and handle confidential information maturely and in unbiased fashion
  • Ability to work independently and as an effective and engaged team member in a fast-paced environment
  • Excellent oral and written communication skills
  • Exceptional attention to detail with a high level of accuracy
  • Ability to consistently meet punctuality and attendance expectations

Education and training requirements:

  • Bachelor's degree in business-related field with Human Resources coursework preferred
  • High school diploma with 3 years of related experience may be substituted for Bachelor's degree

The expected salary range for this position is between $60,000 and $68,000. This range is representative of base pay only and does not include straight time pay for hours worked over 40 per week, company contributions towards paid benefits, and/or bonuses. Actual compensation (meeting or exceeding the range) will be determined based on specific experience, education, work location, clearance level, and other factors permitted by law. This position is eligible for bonuses (when applicable).
