The Office Specialist, in Housing Maintenance Services (HMS), reports to the Office Supervisor of HMS, performs a variety of complex office and clerical/admin support duties in direct support of maintenance operations for all Housing & Residential Life buildings.
Housing & Residential Life (Housing), a self-funded auxiliary housed in the Student Affairs division of the University of Arizona, operates 23 student dorms and one Graduate apartment complex that house 7,800 students annually on the University of Arizona Main Campus. | Duties & Responsibilities |
- Provide assistance with online and in person training
in HMS practices and procedures, maintenance online work requests, related data entry. - Collection/archiving and updating of all data in
TMA on-line maintenance ticket system, TMA equipment PM system and the preparation of TMA reports and monthly facilities customer service survey and automated report generating requirements. - Acts as office first point of contact on main
line shop phone and in person for inquiries made from Housing & Residential Life and University staff requesting HMS assistance, HMS purchasing activity notifications ; follow up on various communications as directed per Office Supervisor. - Provides computer support assistance for HMS
staff, including correspondence, file maintenance and assist with front office operations. - Creates various work order requests and
related reports; assist in completion of office process (scanning, logging and filing) of HMS purchasing documents. - Logs PCard receipts.
- Maintains vendor activity logs.
- Assigns vendor keys.
- Maintain and update bulletin boards in
Maintenance Office. - Assists with various departmental event
year-round activities and during the August student move-in process. - Performs related duties as assigned or
required to meet Housing & Residential Life and University goals and objectives.

| Minimum Qualifications |
- High school diploma or high school diploma equivalency is required.
- Minimum of 3 years of relevant experience required.
- Valid Driver's License and ability to drive according to the University Fleet Safety Policy.

| Preferred Qualifications |
- Three years office/clerical experience, including one year in directly related function.
- Experience working with database software applications (Microsoft Office 365; Outlook, Teams, Word, Excel).
- Experience working in a high-volume maintenance/construction/customer service environment.

In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University's campuses.Thesereports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
