Job Title: Practice Coordinator

Location(s): San Francisco, CA

Position Summary
The Practice Coordinator supports daily clinic operations within the Orthopedics Specialty Care Clinic. The role performs front desk and back-office functions, coordinates patient flow, and manages surgery scheduling activities to ensure efficient, patient-centered service delivery. This position requires strong organizational capabilities, proficiency with Epic/APeX, and the ability to communicate clearly with providers, patients, and internal teams.

Key Responsibilities Front Desk Operations
  • Perform patient check-in and check-out, verify insurance, and collect co-payments.
  • Manage appointment scheduling, modifications, and waitlist functions.
  • Provide high-quality customer service to patients, visitors, and clinical staff.

Back Office Support

  • Prepare charts and documentation; assist with pre-visit planning.
  • Coordinate patient flow to ensure timely rooming and provider support.
  • Assist with administrative tasks related to clinic operations and patient care.

Practice Coordination

  • Maintain, update, and reconcile patient records within Epic/APeX.
  • Support daily clinic throughput of 30-50 patients, ensuring accuracy and timeliness across all activities.
  • Collaborate with clinicians, practice leadership, and ancillary departments to resolve issues and optimize workflows.

Surgery Scheduling

  • Coordinate and schedule surgeries, pre-operative appointments, imaging, and ancillary services.
  • Communicate surgery details clearly to patients and clinical teams.
  • Ensure completion of all required documentation, authorizations, and follow-up tasks.
Required Skills and Competencies
  • Demonstrated proficiency in Epic/APeX and the Microsoft Office Suite (Outlook, Word, Excel).
  • Strong communication skills with the ability to interact professionally with patients, providers, and multidisciplinary teams.
  • Excellent organizational skills, with proven ability to multitask and manage competing priorities.
  • Detail-oriented with consistent accuracy in documentation and administrative work.
  • Ability to work in a fast-paced clinical environment with high patient volume.
Experience and Education
  • Bachelor's degree and a minimum of 6 months of relevant experience; or
  • A minimum of 2 years of healthcare administrative experience (clinic, ambulatory, or medical office setting).
