DESCRIPTION

Under general supervision, incumbent is responsible for high-level administrative support and clinical coordination. Coordinates all aspects of clinical care, teaching, research and business development programs. Responsible for coordinating and executing projects, independently composing correspondence, managing and maintaining complex appointment calendars and travel schedules for meetings and appointments. Schedules and registers patients for appointments. Coordinates authorizations for appointments and admissions and ensure payment/ reimbursement. Coordinates, collects and compiles reports/slides/films for each patient case from internal and external sources. Answers and triages incoming phone calls. Takes meeting minutes and prepares and distributes minutes. The ideal candidate is detail oriented, self-motivated, and able to work both independently and collaboratively. Candidate directly supports Faculty in clinic and administration workstations. Possess strong patient-centric service skills in person, over the phone, and in electronic communications.

MINIMUM QUALIFICATIONS
  • Minimum of three (3) years of administrative support.

  • Expertise with the coordination of front office administrative support functions including billing verification, phones, and greeting patients, etc..

  • Demonstrated lead experience.

  • Proven ability to coordinate the schedules of multiple clinical providers and ability to articulate physician's areas of expertise.

  • Strong ability to coordinate, maintain and arrange complex calendars for meetings, medical procedures and appointments.

  • Thorough knowledge of medical scheduling and authorization.

  • Proficient knowledge of Microsoft Office Systems (Excel, Outlook, Word, PowerPoint, Access).

    PREFERRED QUALIFICATIONS
  • Bachelor's Degree.

  • Five (5) years of administrative healthcare experience or other relevant experience.
  • Medical Terminology training or certificate.
  • Experience working with Epic, Phoenix, Cadence.
  • Bilingual - English/Spanish.
SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.
  • Employment is subject to a criminal background check and pre-employment physical.

Pay Transparency Act

Annual Full Pay Range: $61,429 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.42 - $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
