Position Overview
This role supports a high-volume Pediatric Cardiology program encompassing multiple sub-specialized cardiac services. The Program Coordinator/Patient Navigator plays a critical role in ensuring efficient operations, high-quality patient service, and effective coordination across clinical teams.

Required Experience

  • Strong customer service experience, primarily phone-based.
  • Work-queue management and patient scheduling.
  • Highly organized and detail-oriented.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience with APEX (preferred).
Job Function Summary
Under the general direction of the Program Supervisor and the Pediatric Cardiology Director of Cardiac MRI, the Program Coordinator independently manages and prioritizes a broad range of administrative, operational, and coordination tasks within a complex clinical environment.

The role requires a high degree of independence, initiative, assertiveness, and diplomacy. Analytical and operational support is provided to Cardiac and "3D+" practices by supporting the Pediatric Cardiac Magnetic Resonance Imaging (MRI) Program, the Center for Advanced 3D+ Technologies, and other nursing and physician clinical teams as needed. The position actively identifies and implements operational improvements to ensure high-quality patient care and service delivery.

Custom Scope and Responsibilities
  • Support operations of the Pediatric Cardiac MRI program and the Center for Advanced 3D+ Technologies.
  • Coordinate and manage clinical scheduling and patient flow.
  • Facilitate insurance authorizations and maintain accurate documentation.
  • Support financial reporting, IT systems coordination, and facilities processes.
  • Ensure compliance with clinical, regulatory, and operational standards.
  • Collaborate closely with physicians, nurses, radiology, anesthesiology, and other clinical stakeholders.
  • Interface with internal and external referring providers.
  • Identify workflow gaps and implement process improvements to enhance patient experience and operational efficiency.
Department Overview
The Pediatric Cardiac MRI program delivers advanced cardiac imaging for children with congenital and pediatric heart conditions. The program operates as a collaborative initiative between pediatric cardiology and radiology services and works closely with anesthesiology for cases requiring sedation.

The program provides critical diagnostic information to interventional cardiology and cardiothoracic surgery teams and is an integral component of the Center for Advanced 3D+ Technologies. This center applies innovative technologies-such as 3D printing and augmented/virtual/mixed reality-to enhance patient care through a multidisciplinary collaboration across clinical specialties, supported by institutional and philanthropic funding.

Shift:

  • Day, 5 x 8-Hour.
  • Monday-Friday, 08:00-17:00.
