Overview

This Project Control Technical Aide (PCTA) position supports the Ship Signatures Department at the New London facility. The Ship Signatures Department consists of almost 200 engineers, technicians and support staff under the direction of two Engineering Managers and a Senior Manager. The department provides signature management engineering services across all programs and disciplines at Electric Boat. In doing so, the department must manage cost, schedule and technical work priorities across all programs, requiring strong technical / administrative support. In addition, the department manages the Advanced Technology Innovation Pipeline (ATIP) program under Naval Nuclear Labs (NNL) funding. This fledgling program is growing rapidly, involving multiple departments across Electric Boat and requires strong administrative and technical support.

This PCTA position has two primary areas of responsibility:

    Support the department senior manager
  • Support the two department managers

Responsibilities for supporting the department senior manager:

  • Microsoft Outlook calendar management for the senior manager
  • Providing logistical assistance for management of the ATIP program
  • Scheduling, arranging, managing and hosting (in-person and virtual) internal and external meetings
  • Creating and formatting ATIP program review presentations from content provided by engineering, program office and finance
  • Obtaining, updating and disseminating labor / finance / cost performance data in tables and charts to project leads across engineering
  • Position requires constant interface with management, administrative staff, engineers and Government customers

Responsibilities for supporting the department managers:

  • Assist in preparing presentations and scheduling project reviews with Navy customers
  • Assist the department's Senior Program Representative with aggregating and organizing data (via Excel) to update PowerBI dashboards to track department business metrics


Qualifications

Required:

  • High School Diploma or GED
  • 3-6 years of related experience in an office environment
  • Strong working knowledge of Microsoft Office applications (Word, PowerPoint, Access)
  • Advanced experience with Microsoft Excel (formulas, pivot tables and charts, macros)
  • Experience using Microsoft Outlook mail and calendar applications
  • Experience using business conferencing software (i.e.: Microsoft Teams, Skype)
  • Ability to attain a final DOD Secret Security clearance is required

Preferred:

  • Associate's degree or higher
  • Experience using Adobe Acrobat Full Edition (not just Acrobat Reader)
  • Knowledge of or experience in building Microsoft Office and Adobe Acrobat document templates
  • Experience setting up and hosting meetings using Microsoft Teams and Skype
  • Demonstrated experience in managing schedules and calendars, scheduling meetings and arranging conference calls, data entry and record keeping, preparing reports, spreadsheets, presentations
  • Experience using PowerBI software to visualize large financial and schedule datasets used by the department to track and manage the business
  • Experience working in a program office or engineering office
  • Experience dealing with technical and administrative departments such as Engineering, Contracts, Finance, Legal, and Accounting
  • Active Secret security clearance


Skills

  • Microsoft Word skills to include developing table of contents and linking footnotes
  • Microsoft Excel skills to include pivot charts/tables and updating databases
  • Microsoft PowerPoint skills to include assembling presentations and formatting slides consistently
  • The candidate will be expected to work independently, accept assignments directly from department staff, relying on supervision only to provide prioritization of conflicting needs
  • The candidate will be responsible to ensure the highest level of product quality is maintained and that all assigned work is completed to support department schedules
  • The candidate must be able to balance multiple assignments as prioritized by supervision
  • The candidate must practice strict security compliance
  • The candidate must manage their lost time to ensure scheduled work is completed on time
  • The candidate must possess strong interpersonal skills and a positive team attitude
  • Occasional evening or weekend overtime work may be required
  • Occasional work from home may be allowed depending on classification of assignments
