Job Summary: The Program Coordinator provides high level administrative support for the activities, events, programs, and projects of the Libraries Liaison Program, and contributes to the assessment of the program's goals and projects. The Northwestern Libraries Liaison Program connects the Libraries with its user constituency to advance research, teaching and learning at Northwestern. This position recommends goals, convenes meetings and peer-to-peer learning for liaison librarians, assesses the Liaison Program's ongoing performance, and administers operational functions. This position also coordinates, assists with planning, and evaluates the library workshop program and is the service lead for the Springshare software Library Research Guides, and works with others at the library to support other Springshare products, including Library Chat, LibInsight, LibAnswers, and LibCal. Northwestern University has provided a pay range representing its good faith estimate of what the university reasonably expects to pay for the position. The pay offered to the selected candidate will be determined based on factors including (but not limited to) the experience and qualifications of the selected candidate including years since terminal degree, training, and field or discipline; departmental budget availability; internal comparators; and external market pay for comparable jobs. The target budgeted minimum starting salary for this position is $56,000 - $64,473. This position is in a bargaining unit represented by the Service Employees International Union (SEIU), Local 73. Specific Responsibilities: Administration
- Manages day-to-day operations of the Library Liaison Program, Workshop Program, and Library Research Guides.
- Ensures that program/project mission, values, guidelines, policies & procedures are implemented & maintained.
- Manages design and development of Liaison Program databases; compiles & analyzes data; prepares reports.
- Reviews processes and recommends changes to incorporate technology as appropriate into administrative, and educational components.
- Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives.
- Acts as liaison to IT to ensure technology systems are properly installed & maintained.
Budgets & Financial
- Participates in budget preparation for Learning & Engagement programs.
- Maintains budget & associated analysis & reports.
- Troubleshoots problems; performs vendor/account research as needed; obtains additional information or provides instruction & guidance by phone, US- or e- mail from customers/vendors; corrects or escalates.
Communication, Outreach & Recruitment
- Develops coordinated, consistent marketing and brand messages for the program/project.
- Recommends changes to Northwestern Libraries website.
- Incorporates social media and networking into program/project aspects as appropriate.
- Creates and nurtures relationships with organizations to develop a network of enthusiastic organizations engaged via active participation in the success of program/project.
- Reviews market trends to recommend future plans to increase participation, engagement, etc.
Evaluation
- Observes program sessions and interacts with participants for purpose of gaining consumer insight, growing and strengthening program knowledge, and optimizing client satisfaction.
- Coordinates the collection, analysis & reporting of required information for surveys, review documents, public information documents, etc.
- Analyzes evaluation data from students, participants, etc. to assist in program/project development and updates. .
Events
- Coordinates and/or supports programming, educational, student, alumni, workshops, meetings, etc. including speakers, agendas, etc.
- Develops plans and arranges meetings, workshops, events, etc. designed to exchange information, promote research objectives, and to build internal and external relationships within NU.
- Ensures that event details including communication, venues, presenters, travel arrangements, materials, refreshments and technology are arranged and completed in an appropriate and timely manner.
Human Resources
- Coordinates all or portions of the student worker talent management lifecycle (sourcing, selecting, developing, coaching, rewarding, recognizing, managing information & optimizing talent.)
Program Development
- Manages program/project curriculum, seminars, presentations, workshops, learning experiences, chat rooms, websites, social networking, etc. based on goals/objectives.
- Manages academic quality and continued growth and expansion.
- Identifies & obtains external expertise as needed and works with content experts for current and new programs.
- Reviews programs/projects to increase efficiencies to support growth.
- Manages speaker selection, communication, and topic development.
- Leads program/project updates and improvements.
Strategic Planning
- Participates with area/unit senior staff in the conceptualization, development and presentation of materials used in functional operations.
Student Support
- Completes program/project logistical details such as scheduling, curriculum, facilities, technology, registration, enrollment, audits, etc.
- Participates in and/or supports new student activities.
Supervision
- Supervises student workers &/or provides work direction.
Miscellaneous Performs other duties as assigned. Minimum Qualifications: (Education and experience)
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
- 1 year program/project administration or other relevant experience.
Preferred Qualifications: (Education and experience)
- Work experience in an academic setting.
- Knowledge and experience of Alma or other integrated library systems/Library service platforms.
- Working knowledge of online survey and analysis tools.
- Strong customer service skills.
- Knowledge and experience with Microsoft office software; database creation and management.
- 5 years' library experience or other relevant experience required.
- Previous supervisory or project coordination experience.
