Job Summary

The Administrative Specialist supports the Development Office by providing day-to-day administrative, financial, and donor-related support. This role coordinates schedules, meetings, and
projects; processes charitable gifts; maintains donor records; and assists with basic budget tracking and purchasing. The position works closely with development staff, faculty, and campus partners to ensure smooth operations and timely follow-through. The ideal candidate is highly organized, detail-oriented, and enjoys supporting a mission-driven team focused on student success

Essential Functions

30% - Administrative & Project Support
Schedules, prioritizes, and coordinates administrative support for the Development Office, including meetings, events, calendars, and office operations. Assists with research, information
gathering, and coordination of projects to meet deadlines.

20% - Financial & Purchasing Support
Prepares purchase requisitions using FMS, tracks purchase orders, monitors office supplies, and assists with budget tracking and expenditure reporting. Verifies account balances and supports
accounts payable requests in coordination with fiscal staff. Accurately process and deposit charitable gifts, ensuring correct fund allocation, while generating pledge reminders and donor
invoices and maintaining detailed gift tracking documentation.

20% - Donor & Data Management
Enters and maintains donor records, processes charitable gifts, ensures supporting documentation is complete, and generates standard reports, correspondence, and communication materials.

20% - Front Office & Customer Service

Support the planning and coordination of donor receptions, alumni gatherings, and stewardship meetings; manage event and meeting logistics including catering, space booking, and A/V setup;
draft thank-you letters, emails, donor reports, and recognition materials in partnership with the Philanthropy and Alumni Engagement team; and serve as a professional and welcoming liaison
between the college and donors, alumni, and partners.

10% - Other Duties as Assigned
Bring your adaptability and collaborative spirit to assist with additional tasks as needed to support the department's goals and college mission.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two full-time equivalent years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
OR
An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Experience providing administrative support in a professional office environment

B. Strong customer service and communication skills

C. Proficiency with Microsoft Office (Word, Excel, Outlook) or equivalent

D. Experience assisting with budget tracking, purchasing, or financial processes

E. Experience using a database or CRM system (donor database preferred)

F. High attention to detail and ability to manage multiple priorities

G. Experience working in higher education, nonprofit, or development/foundation setting (preferred)

H. One year of relevant full-time MCCCD experience during the previous two years

Special Working Conditions

Work Schedule: Monday - Friday, 8am-5pm

May be required to work evenings and weekends.

May be required to lift or carry up to 25lbs.

This position is fully on-site, with no remote options

Required to sit for a prolonged period of time; viewing a computer monitor
