Responsibilities

    Manage adminstrative support staff to create team that efficiently and effectively responds to overall office needs
  • Organize and maintain filing systems, take notes at meetings, set-up for meetings, conference calls, and all administrative duties.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Manage/coordinate calendar, schedules, travel arrangements, incoming/outgoing correspondence, meeting minutes. Coordinate and arrange department lunch and learn sessions.
  • Perform department library maintenance.
  • Assist in application for and maintenance of Professional Licenses.
  • Create department binders for team members.
  • Organize and maintain paper and electronic files including archival documents.
  • Maintain and distribute department staff weekly schedules.
  • Support staff in assigned project based work.
  • Update team members on delegated tasks to ensure progress deadlines are maintained.
  • Will be handling and secure project/time sensitive and confidential materials.
  • Assemble and compile reports and correspondence for distribution to appropriate client or entities.
  • Prepare outgoing mail and correspondence including Federal Express, email, Golden State Overnight and faxes.
  • Field incoming phone calls for department. Director and/or Project Managers. Will have extensive client contact with middle and high level managers and private entities.
  • Coordinate department sessions and maintain skill evaluation spreadsheet.
  • Assist with ordering and maintaining department office supplies.
  • Answer telephones and route visitors and/or calls to appropriate people.
  • Project a professional company image through in-person and phone interaction.
  • Coordinate and manage the functions of Accounting, Human Resources, Business Development and office administration ( including but not limited to: assisting Director/Discipline Manager with employee reviews, termination, acclimating new hires into the culture, assist with new- hire paperwork, basic network training, reviewing and approving local AP invoices
  • Perform weekly office inspections and schedule maintenance as necessary.
  • Any other job duties as assigned.


Qualifications

  • High school diploma or GED; at least 5 years of experience that is directly related to the administrative duties and responsibilities specified.
  • Strong organizational skills, including the ability to prioritize, multi-task, and work effectively/efficiently independently or with minimal supervision.

The pay range for this California position is $25.00- $36.00 per hour. This information is provided per California Senate Bill 1162.Restricted stock units may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered.
