Overview

What You Will Do

The Project Administrator plays a key role in supporting Prime Controls' union workforce and field operations. This position serves as a primary on-site point of contact for union employees, project teams, and visiting stakeholders, ensuring a professional, organized, and compliant onboarding experience. In this role, you will lead union orientations, support time-tracking coordination, and provide administrative support to project and field leadership. The ideal candidate is highly organized, confident in leading small group sessions, detail-oriented, and comfortable working in a fast-paced construction or job-site environment.

A Typical Day at Prime Controls

    Serve as the first point of contact for union employees reporting to the job site

  • Lead and facilitate union orientation sessions, including:

    • Site expectations and conduct

    • Safety and compliance requirements

    • Project-specific procedures and logistics

  • Coordinate onboarding logistics for union employees (badging, sign-in, orientation rosters, documentation tracking)

  • Support time-tracking processes by:

    • Assisting employees with timecard questions

    • Reviewing time submissions for completeness and accuracy

    • Escalating discrepancies or issues to Payroll, HR, or Project Leadership (without entering employees into systems)

  • Track attendance, orientation completion, and required acknowledgements

  • Maintain accurate records related to union onboarding and time coordination

  • Communicate regularly with HR, Payroll, Safety, and Project Teams to ensure alignment

  • Answer, screen, and direct phone calls in a professional and friendly manner

  • Greet visitors, vendors, and employees in a polished, professional manner

  • Provide general administrative and clerical support as needed to project leadership

  • Order and maintain office supplies and support basic site logistics

  • Handle incoming and outgoing mail and packages

What You Will Bring

  • Minimum of 2 years of professional administrative or office experience
  • Strong verbal and written communication skills, with confidence leading small group orientations
  • High attention to detail and strong organizational skills
  • Professional appearance and demeanor suitable for job-site and office environments
  • Ability to manage multiple priorities in a fast-paced setting
  • Comfortable working with timekeeping processes and documentation tracking
  • Ability to use independent judgment while following established procedures
  • Proficiency with basic office equipment and Microsoft Office tools
