The Extension Department, Division of Land Grant Programs, at West Virginia University is currently accepting applications for a Finance and Business Manager. About the Opportunity Located at West Virginia University Jackson's Mill in Weston, WV, this position oversees the daily financial and business processes for the Jackson's Mill campus. This position may require the ability to work evenings, weekends, and holidays as necessary to accommodate event schedules. What You'll Do
- Finance & Business (75%)
- Assist the Director in assessing and monitoring expenditures and revenues for state, Foundation and fee accounts.
- Comply with all cash handling requirements/practices of the State of WV, WVU, and WVU Jackson's Mill.
- Prepare and submit deposits for cash, check, and credit cards daily. Reconcile deposits once submitted to and recorded by WVU Shared Services via Miscellaneous Cash Receipts report.
- Report consumer sales tax and local occupancy tax to WVU Tax Services monthly.
- Prepare requisitions in Mountaineer Marketplace to purchase goods and services including obtaining and providing proper documentation and approval required for processing.
- Submit vendor registration requests through Mountaineer Marketplace as needed. Verify vendor registration prior to submitting requisitions.
- Make procurement card purchases and reconcile through My Expenses. Serve as designee to reconcile procurement care purchases for Director.
- Submits payments to multiple utilities each month utilizing procurement card and Mountaineer Marketplace
- Prepares, reconciles, and manages departmental financial reporting.
- Closely monitors earned revenue to ensure revenue meets budget demands.
- Identifies account receivables to accurately reflect estimated revenue projections.
- At year-end closeout initiates cancellations, finalizes open orders, and other transactions.
- Assisting management make financial decisions.
- Registration, Conference and Event Operations (20%)
- Serve as liaison between customers and all Jackson's Mill departments.
- Communicate rates with customers within given parameters. Provide notification and implement revisions in pricing, group rates and packages.
- Manage guest bookings and reservations. Check guests' arrivals and departures using computerized software.
- Aid guests in the completion of registration.
- Respond to guest inquiries and requests in-person, by phone, and online.
- Negotiate, schedule, and manage services and facilities for groups and customers. Assist in planning the logistics of conferences and events.
- Maintain a positive attitude and friendly demeanor. Develop and maintain positive customer base to ensure return business for annual and semi-annual conferences and events.
- Compute guest billings and accurately post charges to guest rooms and house accounts.
- Communicate with necessary staff to address any issues or complaints made by guests.
- Recognize potential issues and seek the resources to counteract those problems before they are recognized by the customer/group.
- Manage the maintenance, organization and updating of the master calendar of events.
- Coordinates with other staff to ensure coverage of front desk during operating hours.
- Administrative Support (5%)
- Provide administrative support to the director the Jackson's Mill.
- Receive and greet visitors to the office, determine nature of their visit, and direct them to the appropriate individual/department for assistance.
- Assume responsibility for additional duties as assigned to ensure the efficient operation of WVU Jackson's Mill
- Attend training/conferences for professional development as appropriate/required.
Qualifications
- Bachelors Degree in Business, Human Resources, Event Planning, Marketing or Communication. Equivalent combination of education and related experience will be accepted
- A minimum of one (1) year of experience in the following:
- Business administration or management.
- Experience as a front desk clerk, receptionist, administrative assistant, or similar role in a fast-paced public environment.
- Experience in conference planning and/or marketing.
- Experience in conflict management/resolution.
- Experience with Microsoft Office Suite.
- Experience in a team-based environment.
- Equivalent combination of education and related experience will be accepted.
- All qualifications must be met by the time of employment.
Knowledge, Skills, and Abilities
- Ability to perform budgeting/financial/accounting calculations.
- Knowledge of accounting software, internal and external to WVU system.
- Knowledge of Microsoft Office Suite.
- Experience with event and conference planning/management.
- Excellent customer service and interpersonal skills.
- Strong organizational skills and attention to detail.
- Strong oral and written communication skills with the ability to communicate clearly and concisely with a variety of individuals concerning a broad range of issues
- Comfort interacting with all levels of management.
- Demonstrated ability to maintain confidentiality.
- Ability to maintain proper attendance and punctuality standards.
- Ability to work effectively and independently in a non-supervised, fast-paced business environment, exercising judgement, tact, and diplomacy in all interactions with diverse groups.
- Ability to work flexible hours including evenings, weekends and holidays as needed to accommodate group/event scheduling.
