The Undergraduate Program Administrator oversees all administrative operations of Northwestern University's Chemistry Undergraduate Program; provides direction and thought leadership to develop strategic administrative initiatives that meet the mission/objectives of the undergraduate program while supporting Northwestern's commitment to excellent teaching, innovative research and the personal and intellectual growth of its students; oversees the effective, compliant, & efficient daily management of all operational business functions in support of the undergraduate program & in coordination with WCAS and central offices such as Registrar, HR, and Office of Civil Rights and Title IX Compliance.

This is a full-time position at 37.5 hours per week. This position works a hybrid schedule, with some onsite work and some remote work. More information will be discussed during the interview.

The target hiring range for this position will be between $65,000 - $80,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

Specific Responsibilities:

  • Administration: Leads the development of strategic plans for programs and projects. Oversees daily operations to ensure work is efficient, effective, and well managed. Oversees program logistics, including facilities, scheduling, and technology.

  • Budgets & Financial: Develops and implements ideas for improving business processes and increasing program/project revenues and margins.

  • Evaluation: Develops and implements evaluation processes to track whether programs and projects meet their goals. Works with internal and external partners to define outcomes and create meaningful ways to measure program success.

  • Faculty Support: Manages faculty administrative needs to ensure faculty have strong, reliable support.

  • Human Resources: Leads hiring and onboarding, sets performance goals for each employee. Supports staff development through mentoring and training. Manages employee leave requests, approves timesheets, and ensures annual conflict-of-interest surveys are completed.

  • Student Support: Manages student placement, registration, graduation, etc. Oversees academic year course schedule; monitors course registration & enrollments.

  • Supervision: Supervises 3 staff.

  • Performs other duties as assigned.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience. 2. 4 years program/project administration or other relevant experience.

Minimum Competencies:

  • Ability to lead and inspire colleagues towards common goal achievement
  • Working knowledge of Caesar, CLSS, Smartsheet or equivalent systems
  • Working knowledge of Microsoft Excel
  • Strong communication skills and a commitment to customer service
  • Ability to work, support and maintain a productive, collaborative, and continuous relationship with colleagues across the Department of Chemistry and Weinberg College of Arts and Sciences

Preferred Qualifications:

  • At least 6 years program administration or similar experience.
  • At least 3 years hands-on experience supporting top-tier undergraduate STEM program
  • Masters degree in higher education administration, or equivalent
