Key Responsibilities

Leadership & Production Oversight

* Support the Fulfillment Mail Manager with daily operational oversight and assume full leadership responsibility during the manager's absence.

* Lead daily production activities by working directly within mail and fulfillment workflows, including check printing, inserting, and posting.

* Assign, prioritize, and adjust workloads based on production schedules, service-level commitments, and client requirements.

* Monitor production output to ensure turnaround times, accuracy standards, and quality controls are consistently met.

* Maintain physical and operational awareness of all active jobs to ensure coverage and continuity across shifts and workloads.

Quality Control & Accuracy

* Participate in and oversee complex, high-risk check-printing processes with strict adherence to established quality and security procedures.

* Review the work of team members, verify output accuracy, and ensure end-to-end integrity throughout the production lifecycle.

* Identify discrepancies, investigate root causes, and implement corrective actions to prevent recurrence.

* Enforce consistent application of production standards, keying procedures, and verification protocols.

Data Entry, Mail Preparation & Equipment Operation

* Organize, batch, and prepare documents for data entry and mail processing.

* Accurately enter and verify data within automated systems to ensure data integrity.

* Operate mail inserting, posting, and other fulfillment-related equipment.

* Troubleshoot basic equipment, data, and workflow issues, escalating complex problems when necessary.

Team Leadership & Training

* Lead by example by maintaining high personal productivity and quality standards while supporting team performance.

* Train and coach staff on operational procedures, equipment usage, quality requirements, and safety protocols.

* Provide real-time guidance and feedback to ensure work is completed correctly and efficiently.

* Promote accountability, consistency, and attention to detail across all workstreams.

Reporting, Billing & Process Improvement

* Assist with billing support, job reconciliation, and production reporting.

* Use Excel and Word to create and maintain reports, logs, and standardized templates.

* Contribute to the documentation and continuous improvement of production formats, workflows, and keying procedures.

* Identify inefficiencies and recommend process improvements to enhance accuracy, throughput, and reliability.

Compliance, Safety & Security

* Ensure compliance with safety, security, and confidentiality requirements at all times.

* Identify and report potential safety hazards and support a safe working environment.

* Handle sensitive materials in accordance with company and client security standards.

Additional Responsibilities

* Perform other duties as assigned in support of departmental and organizational objectives.

Work Environment & Physical Requirements

* Occasional exposure to dust, dirt, toner, and ink.

* Requires repetitive physical activity, including bending, twisting, climbing, and lifting.

Position Overview

The Fulfillment Mail Team Lead provides hands-on operational leadership within the Fulfillment Mail department and serves as the primary backup to the Fulfillment Mail Manager. This role is directly responsible for day-to-day production execution, quality control, and workflow coordination across mail and fulfillment operations.

The Team Lead works alongside staff on the production floor, actively participating in complex check-printing, mail insertion, and posting processes while ensuring accuracy, security, and on-time delivery. In addition to production leadership, the role supports billing reconciliation, reporting, and documentation standards, and maintains full working knowledge of all job types to ensure continuity of operations.

This position requires strong technical proficiency in Microsoft Excel and Word, attention to detail, and the ability to communicate clearly and professionally with internal teams and high-end clients regarding job status, issues, and expectations.
