Pay Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $25.77 to $31.48/hour. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $25.77 to $43.58/hour.

Learn more about the benefits of working at UC Brief Summary of Job Duties: Under the general supervision of the Student Affairs Manager (SAM) and in cooperation with the Undergraduate Advising team, supports all aspects of the Computer Science graduate program. Coordinates and manages the graduate admissions program, advises approximately 200 graduate students and 600 undergraduate students on a wide variety of issues, including requirements for graduate admissions, program requirements and options, grades, courses, financial aid, petitions, leaves, exam schedules, housing, cost of living, community issues, employment, and other personal and academic issues related to their welfare. Position requires extensive knowledge of University and Graduate Division policies and procedures regarding graduate and undergraduate student affairs, and requires the ability to interpret regulations from various administrative offices to students and faculty. Displays extensive teamwork and cooperation in the performance of the position's duties within the Student Affairs Area by assisting with the on-going workload and acting independently when the Student Affairs Manager and Undergraduate Advisors are unavailable. Job Functions and Percentages of Time:
- 50% Graduate Advisor - The Graduate Advisor has complete responsibility for the following: *Advises new and continuing Ph.D. and MS students with information regarding department and University policies and requirements for graduate admissions, program requirements and options, grades, courses, financial aid, petitions, leaves, exam schedules, housing, cost of living, financial assistance, community issues and employment. Ensures that knowledge is maintained by attending regular Department and University Graduate Advisor meetings and keeping abreast of changes in policies and procedures. Provides graduate students with assistance and alternatives to various problems (academic, financial and personal). *Serves as first point of contact for all graduate students in the department. *Creates a climate which enhances the student's academic environment and which academic and personal problems may be freely discussed. *Collects student yearly progress reports and determines status of progress for potential issues to assist Faculty Advisors and prepares feedback letters. Analyzes previous report forms to amend the information and make changes to reflect current information gathering needs. *Advises students when it is necessary to consult Faculty Graduate Advisor. Checks that course requirements are fulfilled and comprehensive examinations are taken at the appropriate times. *Collects, reviews, and evaluates Ph.D. and Master's student study plans to ensure that all requirements have been fulfilled for graduation. *Collects data, analyzes and generates reports for faculty regarding student statistics. *Maintains close communication with student's academic advisor by way of meetings and regular reports on status of work in progress. *Prepares correspondence and memos to the College of Engineering and Graduate Division as necessary for graduate matters. *Participates in policy decisions and makes recommendations to the Department Chair, Faculty Graduate Advisor, MSO, and Student Affairs Manager, providing an informed opinion on University policies procedures, and department precedents. *Acts as a liaison to a variety of campus departments regarding graduate student affairs. * May perform other related duties as assigned.
- 20% Graduate Admissions Coordinator - The Graduate Advisor has complete responsibility for the following: *Responsible for coordinating all aspects of the admissions process for both the MS and Ph.D. programs. Tracks approximately 2000 applicants per year in the Graduate Division App Review program; approximately 85% of which are international applicants. *Analyzes and evaluates all foreign transcripts. Determines the validity of undergraduate degrees and calculates GPAs from various universities worldwide. Must keep abreast of the changes in policies regarding foreign transcript evaluations. *Disseminates, interprets and advises applicants and faculty on rules and regulations of UC, Graduate Division and the department including admission procedures, qualifications for graduate admission, program requirements, financial aid opportunities, community housing, and cost of living. *Monitors all aspects of the admissions processes for the 5Ayear combined BS/MS programs available in the department. Advises interested students of the 5Ayear program requirements. Answers questions regarding when to apply, all details for the program, GRE, GPA and application requirements. *Works closely with the College of Engineering, CCS and Graduate Division to ensure student's records are processed and students are advanced to graduate status at the appropriate time. *Meets with Graduate Admissions Committee (GAC) on a regular basis. Based on criteria provided by the GAC, analyzes information and organizes data according to admissions qualifications. *Coordinates annual recruitment visits for potential new graduate students. Organizes daily activities and meetings with faculty, as well as meals. *May perform other related coordination and advising duties as assigned
- 20% Graduate Program Coordinator - *Responds to approximately 8,000 prospective applicants' email questions yearly via the 'gradhelp' email address. *Coordinates with Graduate Division and EMS to schedule new student oral language evaluations. Coordinates faculty participation in each evaluation. *Welcomes new students to the department. Creates information packets with campus and departmental orientation information as well as housing, fee payment, language exam, email account, health requirement information, faculty advisor, etc. *Manages verification requests for all graduate students requiring departmental verification of student status and financial support information for travel, visa changes, Curricular Practical Training, Optional Practical Training and military service postponement requests. *Collects, formats and disseminates student abstract, title, and committee information for student degree milestone defenses. Creates public flier and email announcement for these oral presentations. *Responsible for the data in the CS Graduate Student Database, and COE and Graduate Division admissions systems. Ensures information is accurate and complete. Manages academic files for all new and continuing students. *Uses Student Access and Retrieval System (STAR) to access and/or input student, course, TA, and instructor information. Must be cognizant of the confidentiality of information. *Coordinates Master's Comprehensive exams twice a year. This includes the collection of exam questions, making a list of exam participants, creating confidential ID numbers for each test taker creating packets for each test taker, charting results, updating student files and dissemination of result letters to students. *Takes minutes at the Graduate Student Affairs Committee meetings and assists with processing departmental student awards, annual progress reports, policies and other tasks as needed.
- 10% Undergraduate Advisor - Serves as back-up to Undergraduate Advisor in the following: *Advising incoming freshmen, transfer students and parents during Spring and Summer orientations. *Advising BS students who seek answers to questions about College of Engineering policies and procedures. Providing information about our BS program. Answering academic questions regarding requirements and petitions, including incompletes, schedule adjustments, leaves of absence and changes in emphasis. Advising students regarding the BS Change of Major petitions including deadlines, requirements, and required forms. Referring students to the Faculty Undergraduate Advisor, College of Engineering and other campus entities as appropriate.
