| Primary Purpose of Organizational Unit |
This position is assigned to the University of North Carolina Wilmington, Department of English and Department of History. The English department offers the Bachelor of Arts and the Master of Arts degrees in English as well as providing required instruction for both undergraduate and graduate students with other majors throughout
UNCW. With its size and scope, the English department has more complex organizational structure than many within the College. The volume and diversity of work generated by the instructional, administrative, service and professional needs of faculty have required the office staff be given more duties to ensure maximum efficiency in departmental operations.
This History department offers the Bachelor of Arts and the Master of Arts degree in History. The purpose of the department is to provide each student in both degree programs with the means to achieve personal, academic, and career objectives by providing the necessary opportunities and resources to achieve those goals. In its wider mandate to serve the general student and the community, the purpose of the History department is the historical enrichment of the individual in preparation for lifelong appreciation and continuing study of history. The History department is committed to excellence in teaching, research, individual achievement, and service to local and global communities as means for accomplishing these ends. A student-centered philosophy is considered essential to the accomplishment of departmental goals, with a commitment to extensive interaction between students and faculty. |

| Brief Summary of Work for this Position |
The primary purpose of this Administrative Associate position is to provide administrative support to the Department of English and the Department of History.
These duties include:
- Purchases department supplies/equipment.
- Processes travel arrangements and requests.
- Builds the department course schedule in Banner for Fall, Spring and Summer terms.
- Updates the course schedule, including: course cancelations, add/drop enrollment permissions and overrides, removing pre-reqs and concurrency as needed for registration in Banner for Fall, Spring and Summer terms.
- Provides general office support, receptionist for Department of English and Department of History and assists the department chairs.
- Supports the front desk and acts as primary point of contact for guests and visitors entering the department suite.
- Maintains department files and processes departmental electronic personnel action forms.
- Provides support for faculty searches.
- Manages keys and building access.
- Places faculty book orders.
- Coordinates departmental events.
- Coordinates processing of graduate teaching assistants credentialing and pay actions.
- In coordination with the department chair assists in office matters such as website management, coordinate cancellation of classes, maintains an updated list of advisees according to their emphasis areas and advisors, maintains files on inactive majors and graduates.
- Assists the moving service personnel with removing of office equipment to surplus or to other offices on campus.
- Assists in the supervision of student workers in coordination with the department chair.
- Assumes duties of the other office staff during their absence.

- Experience with higher-education administrative systems (preferably Banner).
