| About the Department |
This role supports the specialty services of the NC State College of Veterinary Medicine's Veterinary Teaching Hospital, which includes the Health and Wellness Center, the Terry Companion Animal Veterinary Center, and the Equine and Farm Animal Veterinary Center (
EFAVC). The primary function of Auditing and the Medical Records unit is to ensure that all patient visits (inpatient and outpatient) are properly charged and documented to justify any treatment or service rendered.
The units are responsible for reviewing invoices, preparing, assembling, and analyzing all patient visits and information contained within each patient record. The units are also responsible for safeguarding the patient record; validating and complying with Release of Information requests; as well as local, state, and federal requirements. Medical Records also assists faculty and students with identifying cases for retrospective studies to support clinical research initiatives. |

| Essential Job Duties |
The
Audit and Medical Records Assistant position is responsible for reviewing medical invoices for billing accuracy and ensuring that all data related to patient visits are processed, audited, and maintained with the highest degree of accuracy and confidentiality. Serve as a resource for services on billing policies. Assist with client audit billing questions and fill in as needed as a point of contact for medical record requests.
Key Responsibilities
- Review medical records for completeness and accuracy, ensuring all entries meet hospital standards and regulatory requirements.
- Compare previous day's discharged records with the invoice to identify any missed or incorrect charges.
- Explain and enforce billing policies throughout the hospital.
- Assist in the conversion of physical documents into an electronic format through high-volume scanning and data entry pertaining to the patient's visit.
- Execute special projects as assigned, including updating billing manuals and the purging of outdated records in accordance with retention policies.
Physical & Operational Requirements
- Repetitive Tasks: Ability to perform high-volume, repetitive tasks including keyboard data entry, record assembly, filing, and purging for extended periods.
- Manual Dexterity: Capacity for frequent repetitive motions associated with digital and physical record management.
- Physical Strength: Ability to lift and move file boxes weighing approximately 30 lbs.

Qualifications
| Minimum Experience/Education |
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. |
| Preferred Qualifications |
Medical Expertise: Background in veterinary or human medicine, including a strong command of medical terminology and record-keeping protocols. Quality Assurance & Auditing: Proven ability to review medical invoices and charts for accuracy, identifying data deficiencies, missing reports, or billing errors. Technical Proficiency: Skilled in high-volume data entry and digital filing (including terminal digit order) with the ability to quickly master new software and databases. Communications & Client Relations: Exceptional verbal and written communication skills, dedicated to providing high-quality service to faculty, students, and external clients. Collaborative Productivity: A proactive team player capable of managing high workloads and performing detailed daily data analysis in a fast-paced environment.
