POSITION SPECIFICS

The Office of the Vice President for Student Affairsisseekinga highly skilledExecutive Assistantto serve as the primary administrative support for the Vice President for Student Affairs (VPSA) andtosupport the programs andactivities of the Division.The scope and nature of this positionrequirea commitment to inclusive excellence and the ability to maintain a high level of discretion and confidentiality.The successful candidate will be a team-oriented professional who hasdemonstratedsuccess in a fast-paced environment where needs and priorities evolve regularly.

Primary responsibilities of this position:

  • Coordinate high-level, confidential, and sensitive internal and external communications

  • Manage calendars, scheduling, projects, and eventsfor the VPSA

  • Coordinatetravel arrangements, meeting logistics, and budgetary expenditures

  • Overseeoffice operations

  • Developand maintain positive liaison relationships with various internal and externalstakeholders, includingstaff, executives, trustees, faculty, students,parents,donors,andalumni

Other responsibilities:

  • Collaborate with administrative support staff within Student Affairs and across the University

  • Prepare agendas, meeting materials, presentations, and reports

  • Greet visitors, screen phonecallsand correspondence, determineappropriate action, and compose responses on behalf of the VPSA

  • Serve as a liaison with student leaders, Student Affairs staff, academiccolleges/departments,and externalconstituencies

  • Planand support events such as dinners, receptions, roundtable discussions, and committee meetings

  • Assistwith resolvingstudent and universityissues in coordination with multiple units

  • Monitor and track budgets, review and approve financial transactions, and assist with financial oversight

  • Manage complex projects, events, and programs

  • Provide administrative support during crisis responseand urgent situations

  • Interpreting and monitoring compliance withUniversitypolicies

  • Manage and coordinate special projects as assigned

Position Requirements:

  • Proficiencyin Office 365 isrequired, and experience with programs such asWorkDay,SIMBA,SAPConcur,andLionPathis preferred

  • Experience supporting a senior executive and working with students is preferred

  • Excellent leadership, written and verbal communication,and management skills

  • Outstanding problem-solving skills, initiative, teamwork and team-building abilities, strong interpersonal skills, anddemonstratesound judgment.

This is an exempt position that requireslimited evening and weekend commitments.

Theanticipatedstart date is Monday, May 18th.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

Bachelor's Degree 6+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

BACKGROUND CHECKS/CLEARANCES

Employment with the University will require successful completion of background check(s) in accordance with University policies. Due to the financial and fiduciary responsibilities of this position, successful completion of a credit history check will be required in addition to standard background checks. Penn State does not sponsor or take over sponsorship of a staff employment Visa. Applicants must be authorized to work in the U.S.

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $61,800.00 - $89,600.00.
