Are you a resourceful, detail-oriented professional with a passion for people and organization? We're looking for an outgoing and dependable Administrative Assistant/Receptionist to be the welcoming face of our business and a key player in our day-to-day operations.

Job Description

In this role, you will be the first point of contact for visitors and employees, ensuring a professional, welcoming experience while providing essential administrative support across departments. You'll gain valuable insight into all areas of our business, while supporting the core functions that keep our operations running smoothly.

What You'll Do:

  • Welcome and assist visitors, candidates, and customers with professionalism and warmth.

  • Coordinate scheduling for interviews, company meetings, events, and executive travel

  • Deliver limited administrative support to the executive team and crossfunctional departments.

  • Support onboarding activities and assist with maintaining accurate HR documentation.

  • Prepare and distribute internal communications, including companywide announcements and email updates.

  • Assist in planning and executing employee engagement initiatives and events.

  • Manage frontdesk communications, including email correspondence and general inquiries.

  • Help track and maintain compliance-related documentation and processes.

  • Foster a positive, collaborative, workplace culture.

Qualifications

What You Bring:

  • Demonstrated experience in an administrative or receptionist role.

  • Outstanding interpersonal and communication abilities, paired with a welcoming and professional presence.

  • Strong organizational skills and exceptional attention to detail.

  • High level of expertise in scheduling in Microsoft Outlook.

  • Proficiency with Microsoft Office Suite, including Teams, Word, Powerpoint and Excel.

  • A respectful, inclusive approach to collaborating with a diverse team and workforce.

  • Proven ability to manage confidential information with discretion and professionalism.

  • Experience using Concur and Adobe tools.

  • High School diploma or equivalent

  • Previous exposure to Human Resources functions is a valuable asset.

Annual Target Salary = $47,840 ($23.00 per hour)

FLSA: Non-Exempt (Hourly)

Monday - Friday 8:00am-4:30pm plus occasional overtime for events

Trade Compliance Statement Access to our facilities is restricted under the International Traffic in Arms Regulations (ITAR) and/or the Export Administration Regulations (EAR) to U.S. Persons (U.S. Citizens, lawful permanent residents, U.S. Nationals, U.S. refugees, asylees, or temporary residents under amnesty provisions ), and to properly licensed foreign persons.
