Shift Timing (Day/ Evening/ Night): Day:- 8:30 AM to 4:30 PM
Job Description:
- Serve as the primary front-desk and client support contact for a multi-departmental Morris County office, maintaining a welcoming and professional environment.
- Greet clients, assess immediate needs, and determine appropriate services or referrals using sound judgment and empathy.
- Answer and screen incoming telephone calls and manage high-volume inquiries calmly and professionally.
- Provide general information related to job training programs, unemployment insurance, job search services, and Work First NJ.
- Serve as a front-line triage point during high-volume periods by assessing client needs and directing services appropriately.
- Coordinate and book client transportation for approved programs and services, resolving scheduling issues as they arise.
- Travel to One-Stop Career Center locations throughout the tri-county service area as needed to support staffing coverage and operational demands.
- Manage complex spreadsheets used for tracking client services, transportation activity, and program reporting.
- Perform accurate data entry and ongoing record maintenance in internal county databases and state systems, including AOSOS.
- Schedule client training orientations on behalf of counselors, send confirmations, enter services, and respond to client questions.
- Review WIOA questionnaires with clients for school monitoring when required.
- Manage and respond to emails from clients, staff, and partner agencies in a timely and professional manner.
- Prepare orientation materials and program packets as needed.
- Receive and process courier deliveries.
- Maintain hallway literature racks and ensure materials remain current.
- Purge outdated files and update records in accordance with county procedures.
- Anticipate administrative and operational needs and provide consistent support to staff.
- Perform additional clerical and administrative duties as assigned.
Mandatory skills/certification(s) Requirement:
Bilingual Spanish required.
- Demonstrated experience in a senior-level .
- administrative, operations, or program support role.
- Strong customer service background, preferably within government or human services.
- Advanced computer proficiency, including strong spreadsheet management skills.
- Ability to work independently and self-manage workload with minimal supervision.
- Strong sense of accountability and follow-through Thinks quickly and solves problems effectively in real time.
- Friendly, warm, and approachable communication style.
- Empathetic and respectful when working with diverse and vulnerable populations.

- High school diploma required.
- Associate's or Bachelor's degree preferred in Public Administration, Business Administration, Human Services, or a related field.
