Supports the HR Credentialing Specialist by executing accurate data entry, organizing and maintaining credentialing and security files, and coordinating routine communications and tracking. Ensures audit ready records, timely updates, and smooth onboarding flow for medical providers.

Administrative Clerk Responsibilities Include:

  • Perform high volume, accurate data entry for credentialing, security, and training records.

  • Organize, label, and maintain digital and physical files; ensure version control and audit readiness.

  • Prepare and assemble packet documents per standardized checklists; verify completeness and formatting.

  • Track document statuses, expirations, and training completions; update spreadsheets and logs daily.

  • Run routine reports and dashboards (e.g., packet accuracy, missing items, upcoming expirations) for the HR Credentialing Specialist.

  • Schedule welcome briefings, training sessions, and follow up appointments; send reminders and confirmations.

  • Monitor inboxes and queues; respond to routine candidate questions and route escalations promptly.

  • Coordinate warm handoffs with MEPS/MEPCOM schedulers and Cherokee HR per guidance.

  • Conduct quality checks on data fields, naming conventions, and file paths to prevent errors.

  • Maintain confidentiality and comply with federal, state, and organizational policies.

  • Support continuous improvement by identifying process gaps and suggesting simple fixes (templates, naming standards, checklists).

  • Performs other job-related duties as assigned.

Administrative Clerk Experience, Education, Skills, Abilities requested:

  • High school diploma or General Educational Development (GED) equivalency.

  • 1-2 years of administrative, data entry, or records management experience in a high volume environment.

  • Experience supporting HR, healthcare, or government programs preferred.

  • Fast, accurate data entry; strong attention to detail and error prevention.

  • Proficiency in Excel and MS Word; basic PowerPoint skills for simple updates.

  • Comfortable working with tracking tools and credential/training platforms (Compass or similar) after training.

  • Strong organization and file management (digital and physical), including naming conventions and version control.

  • Clear, professional communication; responsive and dependable follow through.

  • Time management and prioritization; able to meet aggressive timelines and manage multiple tasks.

  • Process mindset: adheres to checklists and SOPs and flags discrepancies quickly.

  • Discretion and integrity in handling sensitive personal and security information.

  • Basic familiarity with credentialing or security packet components a plus.

  • Must pass the pre-employment qualifications of Cherokee Federal.
