Position Summary and Responsibilities:


The primary duties of the receptionist are to answer phone calls, greet visitors, and maintain the supply closet.



  • Responsible for creating and issuing employee security access badges to the building.
  • Activate and deactivate employee access badges as necessary.
  • Ensure phones are covered during breaks and lunch and ensure coverage when out of the office for any reason.
  • Instruct and train new relief employees on the phone system and procedures. Provide printed manual for reference.
  • Work with the Security Guard on Lobby Coverage.
  • Answer incoming calls.
  • Receptionist is responsible for answering all phone calls and directing to the appropriate party. Requires knowledge of company and departments, and their responsibilities to effectively transfer calls to the right individual.
  • Deal with difficult callers from various people and sales services. Work professionally with these individuals to ensure proper handling of the calls.
  • Provides callers with directions, phone number and addresses as requested.
  • Notifies technical support when phone system is down, and works with the repair service to trouble shoot issues on the system.
  • Greets guests and notifies employees of their arrival. Ensures the guests sign in and out as required. Directs them to the appropriate location within the building.
  • Signs vendor work orders and notifies Executive Assistant when vendor needs to discuss repairs.
  • Receives in package deliveries and notifies Mail Room of arrival
  • Responsible for inventory of office supplies. Orders stock supplies, as well as those requested by employees within the building. Challenges the office supply company on pricing.
  • Receives in the office supplies, and notifies employees of delivery.
  • Handles returns, invoicing and credits for all office supplies.
  • Perform other administrative duties as assigned.


Education and/or Work Experience Requirements:



  • Bilingual - Spanish required
  • Able to work from 7:30 AM - 4:30 PM
  • Ability to learn and use relevant internal computer applications
  • Professional demeanor and problem solving skills
  • Ability to use 10-key by touch preferred
  • Proficiency in Microsoft Office (Word, Excel, Power Point) preferred
  • Ability to perform basic mathematical calculations
  • Ability to work in a fast paced environment
  • Able to coordinate multiple activities and follow through with commitments
  • Good oral and written communication skills and participate well in a team environment
  • Must be highly motivated and results oriented, with a strong attention to detail
  • Must be organized with the ability to handle multiple priorities
  • Must be able to read and write English
  • Must be 18 yrs. or older to apply
  • High school graduate/GED required


Physical Requirements:



  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
  • Must be able to lift and carry up to 20 lbs
