- Handles a wide range of administrative and executive support-related tasks involving the clerical, administrative function, research, and management roles.
- Responsible for heavy schedule management, office management, communication liaison, information preparation, data analysis, and representing the executive to others. Handles confidential information and communications.
- Full comprehension of company's operation and project procedures.
- May also be responsible for training and supervising lower-level clerical staff.
- Uses discretion and judgement and knowledge of organization to facilitate the executive's activities.
- Maintain confidential records, documents, reports, presentations, graphs, organization charts, filing correspondence.
- Preparation of reports including the coordination, formatting, proofreading, Worley Brand compliant, and review spelling and grammar. Distribution of data for client reporting requirements. Update Management Restricted
- SharePoint site -org charts, maintain vacation schedule. Ensure documents adhere to EMS standards for quality, branding, format and style.
- Contributes to moderately complex aspects of a project. Work is generally independent and collaborative in nature.
- Must be able to communicate effectively with C level executives as well as project staff.
- Support senior executives, with work involving frequent visibility to high level internal and external customers.
- May have specific process or program coordination responsibilities assigned as part of the regular work routine.
- Coordination of travel arrangements when requested.
The skills required for this role, include:
- Proven experience in planning and managing executive support within a large global organization.
- A confident, proactive manner with a forward thinking, organized, solutions-focused style.
- Ability to prioritize and manage a wide range of competing tasks associated with the needs of a Group Executive.
- Ability to develop and implement administrative and business processes effectively, trouble-shooting general issues and formulating and implementing solutions.
- Strong relationship and partnership building skills. Demonstrated ability to engage with a wide range of senior stakeholders and high profile organizations.
- Ability to manage strong behaviors to ensure effectiveness.
- High Personal integrity with the ability to deal with, and accept responsibility for, highly confidential information.
- Strong attention to detail with solid written and verbal communication skills.
- High level of computer proficiency in preparation of documents, presentations and spreadsheets using Microsoft Office software, including Word, PowerPoint, Excel and the use of Microsoft Outlook.
- The ability to work flexible hours due to the global nature of the role.
- Enjoy working as a collective within an EA network; lead by example and be a go to person within that network.
