What you'll do:
Executive & Administrative Support
- Provide high-level administrative support to the executive including coordinating and preparing for meetings, maintaining calendar, answering phones, arranging conference calls, and managing complex travel arrangements.
- Juggle a constantly changing schedule and meetings in a professional and efficient manner, anticipating what the executive needs throughout the day.
- Prepare and submit expense reports in a timely, accurate, and efficient manner.
- Make quick and accurate decisions when the executive is unavailable.
- Keep the executive organized and abreast of urgent issues; keep up-to-date on music business news and company initiatives and disseminate regularly.
- Facilitate mass internal communication, including company-wide emails, reports, and meeting invites.
- Organize and coordinate multiple label-wide meetings, agendas, materials, and reports.
- Receive and manage incoming correspondence on behalf of the executive; prepare and edit outgoing correspondence in a timely manner.
- Attend all label meetings, take notes, and implement action items.
- Gather research and prepare the executive properly for meetings and presentations using music data reporting tools, company reports, and other resources.
- Maintain an accurate and current list of internal and external contacts.
- Maintain staff vacation requests and whereabouts calendar.
- Help with NYC office facility management including supplies, vendors, and team celebrations.
- Support artists and their teams when in NYC.
- Miscellaneous projects and tasks as assigned in a timely and accurate fashion.
Distribution & Label Coordination
- Support Jive's distribution business by serving as a key point of contact and liaison with cross-functional RCA and Orchard teams.
- Serve as a liaison between the executive and artists, managers, attorneys, publishers, media, producers, and internal staff.
- Serve as a point of contact between the NY office and all other global offices.
- Coordinate music and other content for executive review and approval in a timely fashion.
- Prepare presentations for DSP and marketing pitches using tools such as Canva, Google Slides, Word, and Excel.
- Track DSP placements, streaming performance, and other distribution support metrics.
- Ideate and contribute to marketing initiatives for label releases in collaboration with cross-functional teams.
- Organize and monitor daily Luminate, Mediabase, trade publications, and other music performance indicators and reports.
- Keep up-to-date on department-specific initiatives, projects, and timelines.
- Participate in planning of special projects and events
Who you are:
- At least 2 years of prior administrative/executive assistant experience for a senior-level executive.
- Extremely organized, relaxed and detail oriented.
- Ability to adapt and maintain composure while working in a fast-paced, ever-changing environment.
- Able to handle confidential information with highest level of professionalism and discretion.
- Expert level written and verbal communication skills.
- Exceptional interpersonal and phone skills and the ability to interact with internal and external partners at all levels.
- Proactive, flexible, calm, and confident. Able to work independently and with little supervision.
- Ability to work on multiple projects simultaneously.
- Strong problem-solving skills.
- Experience and knowledge of music and video software (Spotify, iTunes, Apple Music, TIDAL, Shazam, YouTube/VEVO, etc.) is strongly preferred.
- Strong technology skills including ability to work within PC and Mac programs, iPad, iPhone, Amazon and Google products. The ability to type fast and efficiently is a plus.
- Experience and ability to navigate Luminate, Mediabase, and additional similar music reporting systems.
- Presentation making skills on software like Google Docs, Canva etc. is preferred.
- Available towork overtime as needed.

The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
