Role Overview

The Branch Administrator provides operational and administrative support to ensure efficient branch performance. This role supports billing, compliance documentation, onboarding coordination, and day-to-day office operations. The Branch Administrator plays a critical role in maintaining accurate records, supporting field leadership, and ensuring administrative processes are executed consistently and efficiently.

Key Responsibilities

  • Prepare, batch, and review Enhancement, Irrigation, and Snow billing; coordinate with Accounts Receivable as needed.
  • Assist with Purchase Orders (POs), vendor invoices, and Accounts Payable workflows.
  • Reconcile AMEX expenses via Concur and code VISA receipts for submission to accounting.
  • Maintain organized customer files, subcontractor agreements, and Certificates of Insurance (COIs).
  • Coordinate onboarding documentation for new hires and re-hires, ensuring required forms are completed and retained properly.
  • Complete Section 2 of Form I-9 in compliance with federal guidelines and maintain proper I-9 retention.
  • Maintain DOT files, MVR tracking, and required compliance documentation.
  • Track unpaid attendance and maintain accurate employee documentation.
  • Coordinate uniform ordering, distribution, and returns for field employees.
  • Attend weekly Production Meetings, run requested reports, document notes, and provide general administrative support to branch leadership.

Qualifications

  • High School Diploma or equivalent required; Associate's degree preferred.
  • 2+ years of administrative or office support experience, preferably in a field-based or operational environment.
  • Experience coordinating onboarding documentation and compliance-related paperwork preferred.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Detail-oriented with strong written and verbal communication skills.
  • Experience supporting billing, expense reconciliation, or accounting processes.
  • Ability to maintain confidentiality and handle sensitive documentation appropriately.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and ability to learn internal systems.
  • Positive demeanor with strong interpersonal skills and ability to support operational leaders.
  • Ability to adapt in a fast-paced environment with shifting priorities.
  • Bilingual in Spanish, a plus.
