Job Overview

The Payables Escalation Supervisor resolves complex, time-sensitive invoice and payment issues for Bloomingdale's vendors by leading specialized research and cross-functional coordination. The Payables Escalation Supervisor ensures accuracy, timeliness, and compliance across payables workflows while supporting vendor relationships and internal business partners. The position strengthens financial integrity, improves process efficiency, and enables consistent operational performance within Macy's Accounts Payable organization.

What You Will Do

Escalation Ownership



  • Manage daily and weekly queues of priority payables escalations and drive each item from research through resolution.
  • Review invoice, receipt, and in transit data to identify discrepancies, including unbooked receipts or mismatches.
  • Address chargebacks when applicable and ensure accounts reflect accurate due dates and payment status.


Vendor & Merchant Support



  • Communicate clearly and professionally with vendors and internal partners to explain findings, outline next steps, and help prevent recurring issues.
  • Use strong customer service and active listening skills to understand concerns and determine appropriate solutions.
  • Conduct vendor facing calls as needed to support escalated or complex issues.


Cross Functional Problem Solving



  • Partner with Macy's operational teams when escalations involve components beyond standard invoicing (e.g., data transmission issues, receipt/booking discrepancies, terms or debit adjustments).
  • Collaborate with corporate contacts and business partners to align on action steps and ensure timely follow through.
  • Support offshore team members by reviewing their work, providing feedback, and helping ensure tasks are completed accurately and on schedule.


Systems & Process Management



  • Use Macy's invoicing and financial systems-including FedPay and other internal platforms-to research, validate, and resolve invoice and payment issues.
  • Monitor workload queues to meet key performance metrics and uphold critical deadlines.
  • Analyze invoice trends, exceptions, and receipt data to identify patterns and recommend process or workflow improvements.
  • Assist with training new or existing team members on relevant processes and tools.


Reporting & Accountability



  • Prepare weekly and monthly reports summarizing escalation activity, root causes, aging items, and resolution progress.
  • Maintain organized, detailed documentation for all assigned issues.
  • Demonstrate regular, reliable attendance and punctuality.
  • Foster an environment of acceptance and respect that strengthens relationships, and ensures authentic connections with colleagues, customers, and communities.
  • In addition to the essential duties mentioned above, other duties may be assigned.


Skills You Will Need

Accounts Payable expertise: Strong knowledge of invoice-to-pay workflows, payment timing, compliance, and retail/volume-driven AP operations.

Analytical problem solving / root cause analysis: Skill in reconciling invoice, receipt, and in-transit data; identifying mismatches; and determining corrective actions.

Systems proficiency: Comfort navigating AP/retail systems (e.g., FedPay and internal platforms) plus Microsoft Excel (rates, ratios, percentages; reporting/analysis).

Cross-functional collaboration: Ability to partner with merchants, operations, logistics, accounting, and corporate teams to resolve multi-layer issues.

Vendor & stakeholder communication: Clear, professional written/verbal communication; strong customer service and active listening; ability to lead vendor-facing calls.

Organization & prioritization: Strong documentation habits, attention to detail, and ability to manage competing priorities with urgency.

Leadership & coaching: Ability to review others' work (including offshore teams), provide feedback, and support training/knowledge transfer.

Judgment & decision making: Confidence making sound calls with minimal supervision on exceptions, chargebacks, due dates, and next steps.

Continuous improvement mindset: Ability to spot trends/exceptions and recommend process or workflow improvements.

Who You Are



  • Candidates with a High School diploma or equivalent are encouraged to apply.
  • Regularly required to sit, talk, hear; use hands/fingers to touch, handle, and feel. Occasionally required to move about the workplace and reach with hands and arms. Requires close vision.
