Job Summary


The Administrative Coordinator provides comprehensive administrative and operational support to departmental leadership and team members. This role is responsible for preparing reports, maintaining documentation, coordinating schedules, and supporting daily operational activities. The Administrative Coordinator manages records, distributes communications, prepares work packages and documentation, and ensures accurate filing and reporting. Success in this role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while working independently in a deadline-driven environment.

Job Responsibilities




  • Prepare materials and documentation for daily operational meetings.



  • Generate and distribute reports related to corrective actions, training assignments, scheduling, and operational observations.



  • Review and update schedules to reflect absences, schedule changes, and staffing updates.



  • Maintain and update operational schedules and tracking systems.



  • Prepare, print, organize, and file work packages, procedures, and work plans for scheduled activities.



  • Verify work order revisions and monitor work orders for schedule changes or cancellations.



  • Print and distribute required documentation including clearance orders, qualification documents, and operational forms.



  • Scan and upload completed work packages and documentation into electronic systems.



  • Maintain accurate filing systems for work orders and operational documentation.



  • Track and update departmental data spreadsheets and operational records.



  • Prepare expense reports and assist with documentation for procedural updates and submissions.



  • Maintain communication boards and distribute updated departmental information.



  • Assist supervisors with document preparation, administrative requests, and operational paperwork.



  • Submit documentation and completed work orders to the appropriate control centers.



  • Support additional administrative tasks and special projects as assigned.




Job Requirements




  • High school diploma or equivalent.



  • Strong organizational and multitasking skills with the ability to prioritize work effectively.



  • Excellent verbal and written communication skills for phone, email, and in-person communication.



  • Ability to work independently with minimal supervision and meet deadlines in a fast-paced environment.



  • Strong attention to detail and accuracy in documentation and reporting.



  • Proficiency in Microsoft Office Suite.



  • Ability to handle routine situations and administrative processes efficiently.




Work Experience




  • Previous experience providing administrative or operational support preferred.



  • Experience working with reporting systems, scheduling systems, or document management systems is beneficial.



  • Experience with SAP, technical documentation, regulatory environments, or expense management systems such as Concur is a plus.
