Position Overview

The Procurement Operations Coordinator provides foundational support for the University's Purchasing Services department. This role focuses on the high-volume, day-to-day administrative tasks required to keep university spending moving-from processing card applications to managing supplier data. This is an ideal role for a detail-oriented professional looking to start a career in higher education administration or supply chain management.

Work Environment

This hybrid position is based on the Twin Cities campus. For those located in the metro area, a minimum of three days per week in the office is expected. Internal and external applicants located near other UMN system campuses and across the State of Minnesota may also be considered, and we encourage all interested candidates to apply. Occasional travel to the Twin Cities campus may be required for events and all-staff meetings. Out of state candidates must be willing to relocate to Minnesota at their own expense.

Work Schedule

40 hours per week, Monday through Friday.

Primary Responsibilities

Documentation & Data Processing (25%)

  • Application Processing: Review and process incoming applications for University purchasing cards and supplier accounts.
  • Data Entry: Perform "Add/Update" requests for Ship-To locations and assist with the migration of supplier data into systems like Tririga.
  • Requisition Handling: Pull requisitions and initiate Change Orders (CO) as directed by senior procurement staff.

Card Program Coordination (25%)

  • Account Maintenance: Execute basic modifications to card accounts (e.g., name changes, address updates).
  • Fulfillment: Coordinate the physical mailing and tracking of new or replacement purchasing cards to University departments.

Support & Communication (25%)

  • Help Desk Triage: Act as the first point of contact for the operations phone line and the TDX (TeamDynamix) ticketing queue.
  • Workflow Triage: Sort and route incoming requests to the appropriate team members for complex approvals.
  • Mail & Logistics: Manage the daily distribution of departmental mail, including the secure handling of "Special Handling" checks.

Compliance & Monitoring (25%)

  • Supplier Reviews: Conduct routine status reviews within Supplier.io and MBid to ensure vendor information remains current.
  • Invoice Processing: Assist in the basic verification and "Paying Invoices" workflow to ensure department vendors are paid on time.
Qualifications

Required Qualifications

  • High school diploma/GED and four years of general accounts transaction experience.

Preferred Qualifications

  • Associate's or Bachelor's degree (Business, Finance, or Communications preferred).
  • Experience in a high-volume administrative or customer service role.
  • Basic proficiency in Microsoft Excel and/or Google Sheets.
Pay and Benefits

Pay Range: $50,211.20 - $55,286.40; depending on education/qualifications/experience

Time Appointment: 100% Appointment
