The Opportunity:

Facilities and Business Operations invites applications for the position of Access Controls Coordinator I, a vital role supporting secure and efficient campus operations. This position partners closely with Facilities and Business Operations, the Department of Security, and the Department of Housing and Residence Life to ensure the integrity and reliability of campus access systems. The Access Controls Coordinator I is responsible for processing access requests, administering key and credential management systems, and maintaining accurate records in alignment with institutional standards. Working under general direction of the Access Controls Coordinator II, this role helps safeguard university facilities by delivering consistent, responsive, and accountable access control services across campus

Responsibilities:

Access Control Operations


  • Process access requests for university facilities, Housing and Residence Life, and Facilities and Business Operations.

  • Issue, track, recover, and reconcile physical keys and electronic credentials in alignment with university policies.

  • Administer and monitor key management boxes, ensuring accuracy, accountability, and operational continuity.


Records & Compliance


  • Maintain detailed records, documentation, and system entries related to access authorizations and key assignments.

  • Conduct routine audits and system reconciliations to support compliance with institutional security standards.

  • Prepare reports to support oversight, accountability, and operational planning.


Support, Troubleshooting & Coordination


  • Troubleshoot access-related issues, including credential errors, access denials, and equipment malfunctions.

  • Escalate complex issues and document systemwide concerns as needed.

  • Collaborate with the Department of Security, housing staff, locksmiths, Facilities personnel, and external vendors to coordinate access provisioning.

  • Respond to service requests and provide guidance on access procedures, timelines, and best practices.

  • Assist with emergency access needs in accordance with established protocols.


Systems & Process Improvement


  • Support the testing and implementation of system updates and enhancements.

  • Participate in process improvement initiatives and assist with special projects related to access control operations.

  • Ensure all duties are performed in compliance with university policies, safety standards, and security requirements.


Other Duties

  • Perform related tasks as assigned under the general direction of the Access Control Coordinator II.

Minimum Qualifications:

Bachelor's or Master's degree and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • Experience working with electronic access control systems, key management software, or other security technologies.

  • Knowledge of physical security practices, access control standards, and key management protocols within a university, corporate, or facilities operations environment.

  • Demonstrated ability to maintain accurate records and manage sensitive information with a high level of accountability and attention to detail.

  • Experience conducting audits, reconciliations, or compliance-related documentation.

  • Strong troubleshooting skills with the ability to diagnose and resolve access denials, credential issues, and hardware malfunctions.

  • Excellent communication and customer service skills, with the ability to provide clear guidance to faculty, staff, students, and external partners.

  • Experience collaborating with departments such as security, facilities, housing, or external service vendors.

  • Ability to work independently under general direction while managing multiple requests, maintaining accuracy, and meeting deadlines.

  • Familiarity with emergency response protocols and procedures related to access support situations.

  • Proficiency with software systems used for work order management, access provisioning, or facilities operations.

  • Ability to contribute to process improvements, system updates, and operational projects.


Special Instructions to the Applicants:

This role requires flexibility to respond to urgent matters outside regular hours on occasion.

The anticipated salary range for a well-qualified candidate for this position is $48,722 - $65,165. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
