Duke University's Central Human Resources is looking for a Staff Specialist to support key programs, activities, and strategic initiatives that help HR operate effectively across a complex, highvolume organization. In this role, you'll be the organizational anchor for important projects and daily operations-from coordinating meetings and managing sensitive records to supporting investigations, grievances, and other employee relations workflows.

Minimum Requirements

  • Strong communication, analytical, and organizational skills.
  • Strong proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint) and Zoom.
  • Ability to work independently, manage changing workflows, juggle multiple responsibilities, and meet deadlines.


Preferred Qualifications

  • Familiarity with HR programs-especially employee relations and labor relations.
  • Experience supporting HR administrators or highvisibility roles.
  • Experience coordinating meetings, preparing reports and memos, and maintaining complex documentation or file systems.


Other Requirements

  • Must be reliable, able to handle confidential matters with discretion, and capable of building cooperative relationships with peers, supervisors, managers, senior leaders, and members of the public.
  • Ability to take and transcribe meeting minutes and prepare clear, accurate written materials.
  • Fulltime, onsite work (40 hours per week) is required.

What You'll Do

  • Create, maintain, and update files and records related to meetings, investigations, and grievances, while providing exceptional customer service.
  • Screen and route emails and incoming/outgoing documents..docx&action=default&mobileredirect=true) Assist with factfinding activities by gathering information on grievances, investigations, collective bargaining, and policy research.
  • Draft and prepare reports, proposals, memos, and email communications.
  • Take and transcribe dictation, including meeting minutes and messages, ensuring accuracy and policy alignment..
  • Schedule and coordinate arrangements for meetings, seminars, and conferences; manage calendars and activity schedules.
  • Develop and implement tracking and document retention systems that monitor documents from first draft to final version.

Minimum Qualifications

Education

Work requires knowledge of basic mathematical, research and communications principles normally acquired through two years of postsecondary education.



Experience

Work generally requires four years of clerical or research experience to acquire strong skills in administrative or project research responsibilities as well as accepted office management, communications and research practices. A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and two years of the experience requirement. Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $19.80 to USD $30.63.
