Overview The Office Coordinator, Simulation, provides professional and administrative support to the Medical Director of the Center for Pediatric Simulation, the Manager of the Simulation Department, and the Simulation Department. Supports operations and administrative functions of the department. Leads the administrative assistant(s) and volunteers in the Simulation Department, communicates with professionals, education specialists, Medical Director and the Manager to improve efficiency within the department. Assists with the HealthStream management system that the Neonatal Resuscitation Program is managed through. Monitors and implements office processes to assure efficient and effective department operations. Participates in and assist with simulation courses to support the department. Responsibilities Organizes and supports the day-to-day operations of the Training Center and assures its overall efficiency and effectiveness of processes and procedures. How is it completed: a. Coordinates department operations to include training within scope of responsibility, supply inventory, and office equipment maintenance. b. Coordinates and schedules meetings and special functions for department as requested. c. Responds to questions/issues that deviate from standard operating procedures by determining and consulting appropriate resources such as policies, manuals or other staff. d. Serves as a resource to others on a variety of subjects including software and office equipment, and assists in resolution of non-standard issues and problems. e. Anticipates issues that may be problematic to work flow and other department activities and addresses or seeks guidance from other staff to address. f. Coordinates multiple projects and organizes tasks to ensure timely completion of assigned work. g. Communicates clearly and professionally to establish positive working relationships and resolve conflicts. h. Completes assignments within designated time frame and works with direct supervisor when barriers to completion are identified. i. Records and maintains meeting minutes, policies and procedures, quality improvement reports, and other documents required for the department. j. Coordinates the flow of communication within the department. k. Prepares department reports, letters, memorandums and correspondence. l. Problem solves and identifies possible solutions for work flow and/or difficult situations. Manages department databases and other systems to complete requests and assignments. How is it completed: a. Maintains databases, creates and generates reports to support work processes. b. Demonstrates competency in using various software and systems, complies, edits, and organizes information and data to create specialized documents and forms. c. Maintains current databases of participants and instructors in the Training Center classes. d. Demonstrates knowledge and utilization of available resources. e. Assures adherence to AHA guidelines regarding class requirements. f. Reviews data and information for completeness and accuracy using established formats and/or guidelines. g. Utilizes established filing and data systems, functions, and/or procedures to maintain department files and/or program documentation. h. Prepares and manages efficient/retrievable departmental reports and filing system(s). i. Assists with updates of the department website to ensure accurate information and improve service to organization. Assists in coordination of pre and post class preparations for Training Center classes including outreach classes. How is it completed? a. Partners with the team to schedule classes; prepares online pre-registration in calendar; prepares course materials; assists with participant registration and end of class activities. b. Compiles and communicates post-class participant evaluation reports. c. Coordinates AHA distribution of participant manuals. d. Manages the ordering of AHA participant manuals. e. Seeks opportunity to support workload of team members of the department.
Qualifications Bachelor's Degree and 1-2 years of experience OR Associates Degree and 3-5 years of experience.

The pay range for this job begins at $20.66/hr, but your offer will be determined based on your education and experience. Remote Work/Work from Home This position is not eligible to work remotely, which means that the person hired will be required to work onsite at one of our Children's Mercy locations and may not work from home.
