Posting Summary
Rutgers, The State University of New Jersey, is seeking a Staff Assistant for the Office of Faculty and Staff Affairs at the Robert Wood Johnson Medical School.

The Staff Assistant performs a wide variety of administrative support services within the Office of Faculty and Staff Affairs. Coordinates office activities and projects as assigned.

Among the key duties of this position are the following:

  • Independently handles projects assigned by the Associate Dean for Faculty and Staff Affairs, which are of a confidential nature, including requests from OULR, OGC, legal, union, ethics and compliance, and personnel matters. Support preparation of documents for grievances and arbitrations as needed.
  • Responsible for calendar keeping and scheduling of appointments and compose correspondence for Associate Dean's signature.
  • Responsible for providing administrative, computing, and staff support for the office. Executes assignments and tasks requiring data collection, information gathering, data entry/retrieval, database maintenance, forms and presentations.
  • Manages and maintains confidential faculty personnel information and files, local and national faculty databases, faculty listserves, faculty evaluations and a variety of other confidential correspondence and files.
  • Creates and maintains spreadsheets, database files, and mailing lists. Compiles information regarding faculty new hires, separations and confirmation of status.
  • Distributes and tracks data related to reappointments, annual faculty appraisals, and merit awards ensuring timely completion status.

Minimum Education and Experience

  • Bachelor's Degree in Liberal Arts, Public or Business Administration, the Social Sciences or a related field, plus at least two (2) years of administrative experience in a business office, government agency, or university setting.
  • Equivalent education, experience and/or training may be substituted for the degree requirement.
