Job Title:Administrative Assistant

Business Title: Regulatory Reporting Administrative Assistant

Grade: 15

FULL TIME at $22-26/hr

Job Responsibilities:

  • Compile required reports related to state workforce funding and other regulatory or internal reporting needs

  • Collaborate with the Outreachand Clinical Staff Developmentteamsto support virtual and hybrid courses, includingcreating virtual meeting links, sending calendar invitations,designingand distributing flyers, sending attendee continuing education (CE) certificates, filtering participant questions, and producing miscellaneous reports

  • Compile andsubmitrequired reports related to ANCC and CAPCE completion in coordination with GMR Learning Clinical Staff Development Manager

  • Serve as the primary point of contact for all GMR Learning student support needs, managing incoming inquiries via the student support phonelineand shared email inbox.

  • Provide comprehensive studentassistancerelated to: Course registrations,website navigation,scheduling,certification claims,education verifications,and general process guidance and troubleshooting

  • Perform a wide range of administrative duties including sending/receiving and distributing emails,sortingand responding to mail, including incoming and outgoing shipments, greeting visitors, routinely checking and processing work from designated queues, and preparing extensive regulatory reporting.

  • Send student correspondence related to certifications, verifications, and status updates.

  • Coordinate with the Veterans Affairs School Certifying Official and serve as a backup School Certifying Official (SCO)

  • Maintain the AHA Instructor Alignment database and ensure updates are completed in a timely manner.

  • Process student payments and reconcile pending daily transaction reports from the website.

  • Enteraccuratestudent information into the internal database andmaintaindata integrity

  • Perform other related duties as assigned to support departmental and organizational goals

  • Ability tomaintainconfidentiality of privileged information gained asresultof job functions.

  • Ability to work independently and under pressure.

  • Demonstrates accuracy andproficiencyin use of computer and software programs used by theProgram, specificallydemonstratedproficiencyinthe Microsoft Office suite.

  • Preferred- advanced knowledge ofExcelto include use ofpivot tables,formulasand macros.

  • Ability toestablishand maintain long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations.

Education:

  • High School or GED diplomarequired

Experience:

  • At least twoyearsadministrative experience, which includespreviousexperience working independently, prioritizing, managing multiple tasks and meeting deadlines.
