The Opportunity:

The Admissions and Records Coordinator I supports the daily operations of the Undergraduate Admissions Operations Unit by ensuring the accurate and timely processing of undergraduate applications and student records. This role plays a critical part in maintaining the integrity of applicant and student data and contributes to key institutional functions such as admissions, transfer credit evaluation, registration readiness, state reporting, financial aid, and regulatory compliance. The position supports a seamless transition experience for students while ensuring adherence to university, state, and federal policies.

This position/classification may be moved at management's discretion within the SSWB division to a commensurate level position as determined by the Vice President of Student Success and Well Being or his/her designee.

Responsibilities:


  • Reviews undergraduate applications and supporting documentation (e.g., transfer coursework, international credentials, military and exam-based credits) to assess accuracy, completeness, and compliance.

  • Evaluates and verifies college transcripts, advanced credit (AP, IB, AICE, CLEP), and other academic records to determine transferability in accordance with institutional and state policies.

  • Regularly reviews and updates student records using system queries and reports to ensure data accuracy and compliance with university regulations, FERPA, and applicable state and federal requirements.

  • Performs data reconciliation within assigned areas, identifying and resolving discrepancies to maintain the integrity of admissions and student records.

  • Supports state reporting and regulatory compliance efforts by reconciling admissions and student data and addressing inconsistencies as needed.

  • Tracks applicants and first-term students with incomplete files and initiates follow-up requests to obtain required documentation.

  • Finalizes admission decisions for applicants with complete records, confirming classification, eligibility, and enrollment readiness.

  • Assists with recruitment and outreach events in support of Undergraduate Admissions initiatives.

  • Contributes to the onboarding and training of new staff by sharing knowledge of admissions and records processes.

  • Completes required trainings and professional development to stay current on policies, procedures, and best practices related to admissions, records management, and compliance.

  • Performs additional duties as assigned.


Minimum Qualifications:

Bachelor's degree and 0+ years of relevant experience or Master's degree and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • Experience working in a higher education environment, preferably within undergraduate admissions, records, or enrollment-related functions.

  • Experience reviewing college and high school transcripts, academic records, or test scores for accuracy and completeness.

  • Familiarity with undergraduate academic structures, including credit hours, academic levels, and credentials.

  • At least one year of relevant experience in an admissions, records, student services, or comparable detailoriented administrative role.

  • The anticipated hourly rate for this position is $17.94 - $19.15. The final rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
