Title:- Meeting/Event Coordinator Duration:- 6 months Location:- Newark, NJ (Hybrid) About the Role We are seeking a detail-oriented and motivated Event Coordinator to join our Corporate Events team. This entry-level position offers an exciting opportunity to gain hands-on experience in event planning within a global investment management firm. The Event Coordinator will support the execution of client events that enhance our brand, foster relationships, and drive business objectives. This is a highly administrative position tasked with logistics and team support for the central events team. This is a great opportunity for an individual interested in learning the foundations of conference and events planning through hands-on experience. Someone who is a team-oriented contributor with a flexible attitude who works well in a dynamic and fast-paced environment will fit in well with the team and culture at client. Key Responsibilities * Assist in the planning and execution of in-person, virtual, and hybrid events (e.g., conferences, investor meetings, client receptions). * Coordinate logistics including venue research, catering, AV, room setup, shipping and transportation. * Manage event registration, communications, and attendee tracking. * Support vendor management (invoices, contracts, payments, compliance review). * Prepare event materials (agendas, signage, name badges, presentations, surveys). * Data collection, collation, entry, and formatting. * Meeting/conference website and invitation support in Cvent and Exact Target * Create and maintain event RSVP reporting and post program reporting * Provide on-site event support, including registration desk, client hosting, and troubleshooting. * Assist with reporting, budget reconciliation, and team meeting agendas. Qualifications * Bachelor's degree (Event Management, Marketing, Communications, Business, or related field preferred but not essential). * Internship or 0-2 years of professional experience (ideally in event planning, marketing, hospitality, or related area). * Strong organizational skills and attention to detail. * Excellent written and verbal communication skills. * Ability to multitask, prioritize, and meet deadlines in a fast-paced environment. * Proficiency in Microsoft Office (Excel, PowerPoint, Outlook, Exact Target). Familiarity with event platforms (Zoom, Cvent, WebEx) is a plus. * Professional demeanor and client-service orientation. * Willingness to work occasional evenings, weekends, or travel for events. | |
