About the Position The Property Engineering Division (PENG) is seeking a proactive and detail-oriented Management Assistant to support its real estate and property management functions. This role provides a wide range of high-level administrative, technical, and organizational support, ensuring smooth day-to-day operations and compliance with regulatory and documentation standards. As a Management Assistant, you'll play a vital role in helping manage the County's real estate assets by maintaining accurate records, supporting project coordination, and preparing materials for leadership and Board review. Obtain experience and skills in government real estate transactions Collaborate with a team of professionals responsible for managing the many facets of county-owned and leased properties Researching, updating agreement terms, drafting and preparing legal documents, communicating with various departments, and managing documents through execution Interact with Directors, Project Managers, and peers in various County departments, Title Companies, and Private and Government Landlords and Tenants Gain a sense of accomplishment and pride in your work

We Require
Two years of experience providing administrative/clerical support Associate degree in real estate, public administration, business administration, or a relevant field An equivalent combination of post-secondary education and/orjob-related experience may substitute for therequired experience on a year-for-year basis
Other Requirements Must possess, or have the ability to obtain by the time of hire, a valid Arizona driver's license We Also Value
Bachelor's degree in Real Estate, Business Administration, or a closely related field. Two years of work experience in any of the following: acquisition of real estate; real property; rights; title and escrow services; contract or grant writing; government land operations; land planning; property engineering; space leasing; property management; and real property appraising/assessing. Real Estate, International Right of Way Association, and/or American Public Works Association coursework, designation(s), or certification(s). Highly proficient with Microsoft Suite, including Teams and OnBase. Experience with Database Management, and ESRI ArcMap or ArcGIS Pro

Maintain right-of-way asset databases and encode required data from recorded documents Manage GIS/CAD technician workloads while assigning new interdepartmental work requests Prepare yearly real estate asset additions and deletions report (GASB34) for state auditors on behalf of the Department of Transportation (DOT) Manage projects by establishing objectives, determining priorities, managing time, and gaining cooperation of others; monitoring progress, problem-solving, and making necessary adjustments to the plan Research, read, and analyze a variety of public records related to land rights, title reports, legal descriptions, plans, and maps to identify vesting title, encumbrances, covenants, and restrictions Lead in document migration to the OnBase repository, Land Management System, records retention, indexing, research, and continued data management of County electronic real estate documents Working with department leads and supervisors to evaluate, establish, and document processes and procedures to streamline for efficiency Coordinate, manage, review, prepare, and upload Board of Supervisors agenda items and submit electronic documents for supervisor review and approval Function as a communication liaison for internal divisional communications and assist the staff in ensuring reports and communications are clear, accurate, and professional
