What this job involves

The FM Vendor Manager oversees vendor management of Facility Management providers while driving the full adoption of a new work order technology system (Corrigo) and providing training to FM providers. This role develops and implements FM vendor management processes to monitor performance, compliance, and financial strength in accordance with client requirements and firm policies. The position serves as the single point of contact for the account supply chain team, interfacing with client subcontractor vendor management program managers, operations teams, and supplier diversity program managers. The successful candidate will leverage data from various systems to develop scorecards, facilitate vendor review meetings, manage strategic vendor relationships through quarterly business reviews, and ensure all supporting documentation meets audit-ready standards for client's quarterly audit cycle deliverables.

Your day-to-day tasks will include:

  • Driving full adoption and implementation of Corrigo work order technology system, providing comprehensive training to FM providers and serving as key user for supplier financial risk management software platform
  • Developing and monitoring FM vendor management processes to track performance, compliance, and financial strength while leveraging data from various systems to create integrated scorecards from surveys, operations data, and other sources
  • Facilitating vendor review meetings with fact-based, diplomatic discussions regarding improvement opportunities and spearheading internal process improvements identified through supplier collaboration
  • Managing and developing strategic vendor relationships through quarterly business review (QBR) processes to drive performance, value, and innovation for key recurring service categories including landscaping, snow removal, and pest control
  • Developing Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) for strategic suppliers in key categories while ensuring all documentation is audit-ready for quarterly client deliverables
  • Serving as single point of contact for account supply chain team regarding client subcontractor vendor management programs, work order management activities, escalated vendor issues, and supplier diversity programs
  • Forming cross-functional teams to address vendor management challenges holistically while communicating vendor performance and relationships to senior management team and managing special projects as requested

Physical Demands and Work Environment:

  • Standard office environment with desk-based work requiring extensive computer use
  • Regular meetings with vendors, operations teams, and senior management
  • May require occasional travel to vendor locations or client sites for audits and reviews
  • Role involves coordination across multiple locations and remote vendor management activities

Required Qualifications:

  • Bachelor's degree or equivalent experience
  • 3+ years of Vendor Management experience for FM services including Cleaning & Janitorial, Landscaping, Pest Control, Flooring, and related categories
  • Supply chain experience (purchasing, procurement, sourcing, vendor management)
  • Professional presentation skills and communication style both written and verbal
  • Financial acumen with ability to analyze vendor financial strength and performance metrics
  • Demonstrated orientation and balance of client service, compliance, business process improvement, change management, innovation, and cross-functional thinking
  • Ability to form and lead cross-functional teams to address complex vendor management challenges

Preferred Qualifications:

  • Experience working with hard and soft services categories, particularly real estate services within Facilities Management and Project Management service lines
  • Knowledge of service contracts and compliance issues in financial services environment including certificates of insurance (COI), background checks, and financial reports (Dun & Bradstreet)
  • Experience developing scope of work (SOW), Key Performance Indicators (KPI), and Service Level Agreement (SLA) documents
  • Analytical toolkit including data sourcing from operations systems, advanced MS Excel, and MS Access
  • Experience with work order management systems and technology platforms such as Corrigo
  • Familiarity with supplier diversity programs and reporting requirements
  • Background in conducting quarterly business reviews and vendor performance scorecards

Estimated compensation for this position:

72,000.00 - 82,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
