The Department of Military & Veterans Affairs is searching for an independent, responsible candidate to fill our Clerical Assistant 2 position at the Southwestern Veterans Center in Pittsburgh, PA. This position is assigned to the Nursing Department as a Unit Clerk, ensuring adherence to HIPAA standards and works closely with Nursing Management to organize and provide high quality services to our Veteran population. This position is also responsible for preparing and posting work schedules for the Nursing Department.
The ideal candidate is well organized and has the ability to maintain file systems, business calendars and other important documents. Should be personable in nature to interact with managers, employees and clients in a positive way. Must have experience using software programs to manage digital filing systems or calendars. DESCRIPTION OF WORK

The Clerical Assistant 2 in this position will provide administrative and clerical support to the nursing staff at the Southwestern Veterans Center. Responsibilities include coordinating and maintaining daily appointment schedules, creating reports, maintaining nursing files, and communicates with other departments on nursing business. This position is responsible for preparing and posting work schedules for the Nursing Department, answering telephone calls and emails, and typing reports, letters and other documents related to the nursing department. Participates in meetings, taking dictations and minutes, as required.

Work Schedule and Additional Information:
- Full-time employment, 37.5 hours per week.
- Work hours are 8:00am to 4:00pm, Monday thru Friday with a 30-minute lunch.
- Shift may change based on operational need.
- Telework: You will not have the option to telework in this position.
- Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,108 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS Minimum Experience and Training Requirements:
- Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
- Graduation from high school; or
- An equivalent combination of experience and training.
Additional Requirements:
- Two (2) years or more of experience working with software applications within the Microsoft package and other software packages to create and maintain spreadsheets/calendars/documents/rosters etc.
- The ability to work with various office equipment such as; scanner/printer/fax/computer/tablet/telephone/personal communication devices etc.
- You must be able to perform essential job functions.
Preferred Qualifications (not required):
- Previous experience with Department of Health regulations to meet staffing ratios.
- Previous experience completing scheduling for any type of business.
- Previous experience using a scheduling software program.
Legal Requirements:
- This position falls under the provisions of the Older Adult Protective Services Act.
- Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
- A conditional offer of employment may require satisfactory completion of a background check, PPD testing, and physical.
