As a Construction Administrator at DN, you will provide administrative support to the construction management team, ensuring smooth coordination in daily operations. In addition to supporting our construction operations, you will support our office staff in greeting visitors, phone management, data processing, and record-keeping. This is a key support role in our project operations, requiring you to be dependable, organized, and detail oriented.

Responsibilities

  • Coordinate departmental meetings, including scheduling participants and managing travel arrangements.
  • Prepare and distribute Superintendent boxes with all required project materials.
  • Greet visitors professionally, manage phone communications, and handle incoming/outgoing mail efficiently.
  • Maintain office supply inventory (employee, kitchen, restroom, cleaning, and shipping supplies).
  • Manage vendors for office services (water, coffee, snacks, pest control) to ensure a well-stocked environment.
  • Oversee upkeep of lobby and conference rooms, including lighting, plants, decor, and overall readiness.
  • Run reports in systems such as Spectrum and CRM for the Office Manager and Operations team.
  • Assist with travel arrangements for Field Personnel as needed.
  • Support planning of departmental team-building events and seminars.
  • Maintain project files by sorting, scanning, and organizing documents for accurate record-keeping.

Qualifications

  • High School Diploma or equivalent
  • 3+ years of administrative experience
  • Be proficient in Microsoft Office
  • Excellent organizational and time management skills with the ability to manage multiple projects and deadlines
  • Strong attention to detail and accuracy in documentation and reporting
  • Problem-solving skills and ability to work independently with minimal supervision
  • Bilingual in English and Spanish preferred
