About the Job

The Department Administrator provides leadership and direct supervision to a departmental administrative pool and a Program Coordinator, ensuring that daily operations align with departmental goals. This position is responsible for fostering a collaborative culture through active mentoring, performance management, and workload balancing, while serving as a key liaison between faculty and staff to establish clear service boundaries and efficient processes. This position also plays a key role supporting the departments success by providing administrative support to the department chair, supporting department initiatives, and overseeing critical processes.

This is a hybrid position, with the expectation of at least 4 days in the office.

Please note, this position is not eligible for H-1B or Green Card sponsorship. This position does not offer a STEM OPT training program.

Administrative Supervision (45%)

  • Provides direct supervision and leadership to the Program Coordinator and administrative pool staff, fostering a collaborative culture and ensuring daily operations align with departmental goals.
  • Facilitates the performance review process, including conducting regular 1-on-1s, monitoring performance, and addressing performance concerns.
  • Mentors and coaches staff in goal setting, increasing and improving skills, maintaining effective business relationships, following established practices, and professional communication.
  • Partners with HR to recruit and hire for vacant positions.
  • Directs and coordinates the administrative services provided by the department administrative pool.
  • Monitors and balances staff workloads as needed to ensure deadlines are being met.
  • Establishes processes and procedures for the services provided by the administrative pool.
  • Consults with faculty and other stakeholders regarding concerns with service from the administrative pool.
  • Consults with faculty regarding non-standard requests to the administrative pool; Establishes and communicates boundaries and recommends alternative solutions.

Faculty & Department Support (25%)

  • Serves as a liaison and resource with other School of Dentistry departments, external individuals, and groups.
  • Ensures department policies, procedures and processes are documented, up-to-date and in compliance with University and legal standards.
  • Supports CODA accreditation for the department; Gathers data, monitors deadlines and progress at the direction of the Department Chair.
  • Manages departmental engagement initiatives:
    • Facilitates departmental review of engagement survey results.
    • Identifies departmental engagement opportunities through interactive discussions with department constituents.
    • Collaborate with department staff/faculty to establish engagement goals.
    • Creates sub committees to work towards department engagement goals. Periodic check ins with committees to monitor progress towards goals.
  • Provides professional support for all faculty searches in the department; Follows established faculty search guidelines to ensure compliance and consistency.
  • Facilitates faculty annual review process for the department:
    • Communicates process and dates to faculty.
    • Responds to faculty inquiries related to the annual review process.
    • Compiles faculty review materials.
    • Arranges faculty review meetings.
  • Provides administrative support for the faculty promotion and tenure process:
    • Communicates deadlines and requirements to faculty.
    • Professionally compiles supporting documentation.
    • Design and implement departmental procedures to support the faculty promotion process.

Administrative Support to Department Chair (30%)

  • Manages department chair calendar and schedules meetings as requested.
  • Orders and maintains departmental office supply inventory.
  • Reconciles Department Chair PCard accurately and timely.
  • Organizes travel arrangements and reimbursements for the Department Chair.
  • Assists with conference registration and logistics.
  • Plans and executes department wide events.
  • Assist the Department Chair with departmental budget management.
  • Consults with department chair on staffing; processes department PRFs.
Qualifications

Required Qualifications:

  • BA/BS with at least 4 years of experience or a combination of related education and work experience to equal eight years; position involves comparing, verifying and reconciling data to help departments achieve overall objectives.
  • 2+ years supervisory experience
  • Ability to coordinate the work of others
  • Ability to exercise professional demeanor and actions when dealing with students, staff, faculty, and the general public
  • Extensive computer experience with word processing, spreadsheets, data entry, and manipulating data on inter-relational databases; proficient in Google Workspace and Microsoft Office
  • Ability to organize and prioritize multiple tasks to meet deadlines
  • Demonstrates flexibility and initiative, as well as the ability to work independently with minimal supervision
  • Ability to use sound judgment within a multiplicity of demands
  • Demonstrated ability to analyze and resolve complex problems

  • Experience in higher education/or complex organizations

Pay and Benefits

Pay Range: $70,000 - $75,000; depending on education/qualifications/experience
