- Coordinates surgical and medical procedures and/or outpatient diagnostic testing including off site procedures in hospital or ambulatory surgical centers.
- Coordinates appointment process and serves as a communication link between patients, affected departments, the provider and care team. Provides excellent customer service and guides expectations of patients.
- Oversees block or available time for surgical and procedural cases while coordinating in-office schedules.
- Supports the medical clearance, billing, and medical records documentation process, completes prior authorization, and performs clerical duties as required.
Principal Accountabilities
- Schedules surgical procedures which are performed in a hospital or ambulatory surgical center.
- Provides accurate, detailed information to patients regarding test preparations, time of patients scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients, in a timely manner
- Completes pre-procedure phone calls and confirms appointment times with patients via telephone or electronically using electronic medical record (EMR) digital capabilities. Documents outreach and patient instructions in EMR notations.
- Coordinates pre-procedure clearance testing and consultations, when needed. Gathers and submits required medical records per facility and specialty provider requirements.
- Maintains patient/employee confidentiality in the management of information
- Coordinates separate preoperative visit for collection and analysis of physical data as needed. Schedules Post-operative appointments.
- Confirms that perioperative medications have been ordered and reminds patient to pick up and take them.
- If the facility offers transportation or if this is an insurance benefit, coordinates transportation.
- Confirms patient's insurance provider and assists with obtaining prior authorization for surgical procedures.
- Transmits information, as required, to insurance carriers through computerized or phone data entry and through the submission of written forms.
- Engages in problem resolution as necessary to complete authorizations, including verbal and written correspondence with insurance companies, specialty providers and their care team, patients and hospital and surgical center staff. Follows up with such personnel to ensure requested services are available and authorized for patients.
- Coordinates with specialty provider in sending operative reports and required billing documentation to Revenue Cycle and Medical Records for billing and filing purposes.
- Monitors, compiles, and reports data on referral authorization activity as directed by the practice manager, specialty operational and organizational leadership.
- Interfaces with appropriate hospital or surgical center staff to ensure a cohesive working relationship in providing coordinated patient care.
- Performs other job-related duties as required.
Qualifications Education, Training, Licenses, Certifications
- High School Diploma or GED
- Associate Degree
Relevant Work Experience, Knowledge, Skills, and Abilities
- Minimum 1year experience working in a medical office, hospital, or ambulatory surgical center in a surgical or procedure scheduling area
- Minimum 3 years' experience working in a medical office, hospital, or ambulatory surgical center in a surgical or procedural scheduling area
- Knowledge of medical referral system and insurance authorization process
- Knowledge of Medical Terminology
- Experience working with and ability to navigate Electronic Medical Record system; Epic experience preferred
- Excellent written and verbal communication skills, strong decision-making ability, and attention to detail.
- Ability to work well either alone or as part of a team.
