Job Description

The College of Arts & Science is accepting applications for a detail-oriented and service-focused administrative professional to provide comprehensive financial, administrative, and project support to the college. This position ensures complinace with university, college, and departmental policies; manages and analyzes a range of financial accounts; and supports payroll and purchasing activities. The role also coordinates projects and administrative processes from planning through completion, working closely with faculty, deparment staff, and college leadership to support efficient operations, sound fiscal management, and continuous improvement.

Key Responsibilities:

Financial Support

  • Ensure compliance with university, college, and departmental financial and HR policies.
  • Prepare and interpret fiscal reports for faculty and leadership.
  • Reconcile departmental accounts and analyze financial data.
  • Maintain a variety of funds, including general operating, research, instructional, gift, and agency accounts.

Administrative Support

  • Submit purchase requisitions, contracts, and vouchers through the AP Cherwell portal.
  • Reconcile purchasing card transactions and handle reimbursements through AP Shared Services.
  • Keep processes accurate and timely while serving as a trusted resource for department staff.
  • Review payroll reports and support payroll activities.

Project Coordination

  • Lead small projects or assignments from planning through completion.
  • Maintain documentation and report regularly to management.
  • Ensure smooth operations by identifying and resloving issues proactively.
Shift

Generally, Monday to Friday, 8am to 5pm.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Salary Range: $19.00 - 25.00 per hour

Grade: GGS - 008
