Job Description

The Senior Executive Assistant to the Trulaske College of Business Dean provides comprehensive administrative support to ensure the Dean's productivity and efficient operation of the office.

Key responsibilities include:
* Manage the Dean's daily schedule, prioritize meetings, and ensure timely attendance by confirming and reminding participants via email or phone.
* Assist the Dean in meeting deadlines by using reminders, checklists, and follow-ups on action items.
* Brief the Dean on upcoming campus meetings, providing background information, attendee bios, agendas, and logistical details.
* Organize the Dean's travel for alumni/development activities, conferences, and meetings, considering time zones, customs, and providing detailed itineraries.
* Serve as a liaison with departments under the Dean's direct oversight to ensure the smooth and efficient operation of business activities.
* Coordinate logistics for recurring events (e.g., advisory board meetings, faculty meetings, luncheons, orientations), including room setup, technology, and catering when necessary.
* Take and distribute minutes for meetings chaired by the Dean (e.g., faculty/staff meetings, Executive Committee, advisory boards).
* Assist with the AACSB (Association to Advance Collegiate Schools of Business) accreditation process and the Dean's participation in site visits at other schools.
* Work with departments within the College of Business to coordinate the Dean's involvement in communications and assist with event logistics (e.g., catering, parking, travel).
* Handle purchases for the Dean and others, including travel and office supplies.
* Respond to inquiries from administrators, alumni, business firms, and donors on behalf of the Dean, maintaining confidentiality and professionalism.
* Assist with the Promotion and Tenure process by educating department chairs on proper procedures for entering information into the myVITA or RPT system.
* Perform additional tasks as assigned.

This role requires strong organizational, communication, and problem-solving skills to effectively support the Dean's office and contribute to the success of the Trulaske College of Business.

Shift

Monday - Friday, 8am - 5pm. Some after-hours availability required.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

The successful candidate must have:
* Tremendous attention to detail and the ability to multi-task while remaining composed.
* Strong proofreading and editorial skills; experience composing correspondence and preparing presentation materials is necessary.
* A professional demeanor and the ability to work with people.
* Excellent organizational, written and verbal communication skills.
* Discretion, and the ability to effectively handle and communicate sensitive information. Must have a high level of confidentiality.
* Ability to work collaboratively with others.

Anticipated Hiring Range

Salary Range: $52,916 - $70,000/year

Grade: GGS-010
