Description

Under the direction of the Logistics Assistant Director, this role provides administrative and operational leadership to support efficient, effective departmental operations. The incumbent manages and oversees internal administrative controls, ensures alignment with management directives, and supports the day-to-day office and operational functions of the Logistics Department.

Key Responsibilities
  • Serve as the lead administrative support for the Logistics Department, including delegating and coordinating administrative tasks with Logistics Leads and Supervisors to ensure timely completion of priorities and deadlines.
  • Independently manage and produce analytical reports, documentation, charts, graphs, and other metrics-driven materials for departmental leadership.
  • Answer, screen, and route incoming service calls for Logistics, Patient Transport, Lift Team, and Transportation services.
  • Act as the Commute Coordinator and liaison with the UCLA Transportation Department for Logistics and other departments, as needed.
  • Lead and participate in departmental performance improvement initiatives, providing data-informed recommendations to enhance services, workflows, and customer experience.
  • Ensure the timely, accurate, and confidential maintenance of all personnel records.
Salary Range

$32.20 - $51.36 per hour

Qualifications
Minimum of 2 years of relevant experience
Ability to use HBS
Working knowledge of HR onboarding processes
Demonstrated skill in implementing and monitoring quality control programs to meet established performance specifications
Strong organizational skills, with the ability to systematically manage information, materials, and people to optimize efficiency and minimize duplication of effort
Effective written and verbal communication skills to convey information clearly in oneonone and group settings with project managers, clinicians, support staff, and administrative personnel
Strong analytical skills, including the ability to:
  • Define problems or objectives
  • Identify relevant concerns, factors, patterns, and relationships
  • Formulate logical, objective conclusions
  • Recognize alternatives and assess their implications
Ability to read, interpret, and draw conclusions from computerized reporting systems to monitor performance and identify trends and anomalies
Proficiency in mathematical computations sufficient to compile and analyze budget status and productivity reports
Ability to establish and maintain effective, cooperative working relationships with peers, departmental staff, hospital and University personnel, and the public
Ability to work with constant use of office equipment, including:
  • Computers (desktop, laptop, tablet, and/or handheld devices)
  • Copiers
  • Facsimile machines
  • Telephones (desktop, cellular, and SpectraLink)
  • Pagers
  • Laminators
